Position Summary
The Facilities Project Administrator Associate will be an integral part of the Corporate Facilities Team at South Jersey Industries. This team member will oversee SJI’s mailroom and courier operations and support Facilities functions and capital projects. Mailroom Â
Develop new shipping program resulting in cost savings with USPSÂ
Oversee day to day operations of Mailrooms in Folsom and Atlantic City Â
Shipping vendor managementÂ
Process invoices for shipping vendorsÂ
Manage courier relationshipsÂ
Document Retention Policy Administrator for SJI, SJG, ETGÂ
Maintain organizational list of authorization to request documents Â
Maintain organizational list of authorization to destroy documents Â
Maintain and monitor documents storageÂ
Report on documents ready for destruction Â
Manage conversion of physical documents to digital documents Â
Process invoices for document retention Â
Maintain supplier relationship with document vendorÂ
Manage large departmental scanning projects (HR, Accounting, Treasury) Â
Project Coordination Â
Coordinate and track Facilities Capital projects  Â
Attend project meetings on behalf of facilities managementÂ
Coordinate all projects with business areas that require facilities and mailroom involvement Â
Provide input and scope for SOWs Â
Organize and participate in contract renewal negotiations Â
AdministrativeÂ
Updating and maintenance for Facilities SharePointÂ
File/record administrator for Facilities Team siteÂ
Manage Facility issue reporting siteÂ
Maintain spreadsheet trackers for Facilities vendor contract documentsÂ
Provide general administration support to department managerÂ
Invoicing/ Vendor CommunicationÂ
Coder for Facilities in WorkdayÂ
Create and maintenance service contractsÂ
Create and maintenance PSA’sÂ
Create and maintenance of Purchase OrdersÂ
Assist in negotiation of pricing and contract termsÂ
Change in ordersÂ
Obtain w-9 and insurance from suppliers/vendorsÂ
Communicate with vendors for vendor/supplier registration Â
Discuss, review, dispute invoicing concerns with vendorsÂ
Liaison between department manager and executives for vendor contract executionÂ
Liaison between department manager and vendorÂ
Collaborate with procurement department to assist in savings opportunities
Qualifications
Bachelor’s degree with a minimum of 0 years of relevant experienceÂ
Equivalent work experience may be considered in lieu of degreeÂ

Compensation Range:
$50,250 - 80,400We are committed to pay transparency and ensuring equitability compensation for all employees. The pay range for this position reflects the base salary only and does not include benefits, bonuses, or other forms of compensation that might be part of the total compensation package. The specific salary offered will be based on a candidate’s qualifications, education, and experience.
