Key Responsibilities

Service Writing

  • Coordinates service work based on technician availability and job priority.
  • Work with the operations managers to schedule field service technicians for repair/service work.
  • Maintains accurate, up-to-date service records in the dealership management system (DMS).
  • Provides regular updates to management regarding repair status, delays, and estimated completion times.
  • Performs or assists with inspections on machines, which may involve working in the shop or in a quarry. This will help you to learn about our equipment and help you as a service writer.

Warranty Management

  • Prepare, submit, and manage all warranty claims to ensure timely payment.
  • Maintain a complete history file of all serviced equipment and organize vendor paperwork for warranty parts. 

Inventory

  • Works with the parts department to ensure necessary parts are ordered and available for scheduled repairs. 
  • Assists with inventory tracking and counting

  • Pull parts for work orders as needed and ensure unused parts are returned to inventory.
  • Operate a forklift when needed.
  • Perform other duties as assigned 


Qualifications

  • 1–2 years of experience service writing and inventory in heavy equipment, diesel, or agricultural equipment service writing or a similar technical role.
  • Technical understanding of heavy equipment is highly preferred.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and, ideally, experience with specific dealer management software. We use Flyntlok.
  • A high school diploma is required; a 2-year degree is often preferred.
  • Ability to move around the shop/yard, occasionally lifting up to 50 lbs., and working in non-climate-controlled environments. 
  • Valid driver's license and clean driving record.
