BA Global Talent is seeking an Administrative Assistant – Tax Office in North Carolina to join a small CPA firm specializing in tax strategy, compliance, and advisory services for small and medium-sized businesses and high-net-worth individuals across a variety of industries nationwide.

This role is an important part of the firm’s day-to-day operations, providing administrative support to the tax team while helping ensure clients receive responsive, organized, and professional service. The Administrative Assistant will handle a variety of office, client communication, document management, and tax-related administrative tasks.

The ideal candidate is highly organized, detail-oriented, comfortable working with technology, and able to manage multiple priorities in a fast-paced professional environment. Because the firm experiences increased activity during tax season, this position is well suited for someone who can remain organized and responsive as workloads and deadlines increase.

Responsibilities:

  • Answer and direct incoming phone calls professionally and efficiently.

  • Monitor and respond to administrative office emails.

  • Electronically file tax returns through the firm’s systems.

  • Maintain the CRM by creating, updating, and organizing client profiles and records.

  • Provide general administrative support to the team, including coordinating office errands and assisting with day-to-day operational needs.

  • Transcribe notes and accurately document client information.

  • Scan, print, fax, mail, and organize documents as needed.

  • Distribute tax organizers and other client communications.

  • Organize digital files, client records, and project documentation within the CRM and shared drives.

  • Welcome and assist clients and visitors at the office, providing a professional and positive experience.

  • Prepare Powers of Attorney and other administrative forms for CPA review and signature.

  • Follow up with clients regarding outstanding balances, pending e-signatures, and required documentation, including Form 8879.

  • Support the team during peak tax seasons, including occasional extended hours when needed.

  • Assist with additional administrative tasks as they arise to support efficient office operations while remaining within the scope of an administrative support role.

Nice-to-Have:

  • Previous administrative, office support, receptionist, or client service experience in a professional services environment.

  • Prior experience working in a CPA firm, accounting practice, tax office, financial services firm, or similar professional setting.

  • Familiarity with the administrative workflow of tax return preparation and electronic filing.

  • Experience maintaining client information in a CRM or practice management system.

  • Strong organizational skills and the ability to manage multiple administrative priorities and deadlines.

  • High attention to detail when entering client information, preparing forms, and maintaining records.

  • Comfortable handling confidential client and financial information with professionalism and discretion.

  • Strong written and verbal communication skills, particularly when interacting with clients by phone and email.

  • Experience organizing digital files and maintaining accurate electronic records.

  • Familiarity with electronic signature processes and client document portals.

  • General proficiency with Microsoft Office, Google Workspace, and other cloud-based office applications.

  • Ability to learn new software and administrative systems quickly.

  • Comfortable following up professionally with clients regarding missing documents, signatures, balances, or other outstanding items.

  • Ability to remain organized, responsive, and detail-oriented during high-volume tax seasons.

  • A proactive, team-oriented approach and willingness to assist with changing day-to-day office needs.

Location: Wake Forest, NC

Hourly: 30 to 40 hours per week
