Position Summary

Rose Financial Solutions (ROSE®) is seeking a Talent and Office Coordinator to own full-cycle recruiting execution, including executive-level and CFO-level searches and offer proposal development, new hire and contractor onboarding, and on-site office administration. The ideal candidate is a highly organized, detail-oriented professional who thrives on connecting great candidates with great opportunities while keeping the ROSE office running smoothly day to day. This role reports to the Senior HR Specialist and serves as the primary point of execution for recruiting, onboarding, and office operations.

Key Responsibilities

Full-Cycle Recruiting

  • Source, screen, and coordinate interviews for open roles, including executive-level and CFO-level searches, in partnership with hiring managers and the Senior HR Specialist.
  • Manage candidate communications, feedback collection, and scheduling across leadership calendars.
  • Send and collect pre-employment documents, coordinate computer/skills testing, and conduct reference checks.
  • Develop and propose offers based on established compensation ranges and candidate expectations, routing proposals to leadership for final approval.
  • Extend approved offers to candidates and manage the offer negotiation process.

Onboarding (Employees & Contractors)

  • Own new hire onboarding from offer acceptance through the first 90 days, including paperwork, systems access coordination, and scheduled check-ins.
  • Manage contractor onboarding documentation, including NDAs and Statements of Work, following the established Subcontractor Agreement framework.
  • Maintain onboarding checklists and ensure a clear distinction between employee and contractor onboarding requirements.
  • Draft new hire website bios and coordinate their publication.

Office Administration

  • Retrieve, sort, and scan incoming mail; send tax and corporate mail; Process remote deposits; answer and route calls received on the main office line.
  • Maintain office and kitchen inventory, including placing snack orders and stocking supplies.
  • Coordinate meetings, events, and catering as needed.
  • Own facilities logistics, including booking conference rooms and submitting building maintenance requests.
  • Serve as the on-site point of contact for office vendors and facilities needs.

General Support

  • Partner with the Senior HR Specialist to ensure a smooth transition from candidate to new hire.
  • Support ad hoc tasks needed for the functions of HR and office administration.

Qualifications

  • Bachelor's degree in Human Resources or a related field preferred.
  • 3-5 years of experience in full-cycle recruiting, ideally within a financial or professional services firm.
  • Demonstrated experience recruiting for executive-level roles, including C-suite or CFO-level searches preferred.
  • Exposure to Applicant Tracking Systems required.
  • Strong communication and interpersonal skills, with the ability to represent ROSE professionally to candidates, vendors, and visitors.
  • Strong organizational skills and demonstrated attention to detail.
  • Ability to manage competing priorities and effectively schedule across leadership calendars.
  • Comfortable managing on-site office responsibilities in addition to recruiting duties.
  • Resourceful and self-directed, with a track record of researching and troubleshooting issues independently.
