I. MAJOR FUNCTIONS:

 

Reporting to the Executive Director, the Engagement & Events Coordinator (EEC) is responsible for coordinating chapter events, programs, and engagement activities designed to strengthen connections among members, volunteers, community partners, and other stakeholders. Working closely with the Operations, Membership & Programs (OMP) Manager and the Membership & Outreach Coordinator, this position supports the planning, implementation, promotion, and evaluation of chapter events and engagement opportunities, both in person and virtual.

Though the majority of this role will support NASW NJ programs and events, this position will also provide some support and resources to NASW PA, particularly within the greater Philadelphia area.

 

II. BASIC DUTIES AND RESPONSIBILITIES

 

  • Coordinate the planning and implementation of chapter programs, events, workshops, networking opportunities, and other member engagement activities.
  • Support the development and implementation of innovative engagement strategies that increase member participation and strengthen connections to the chapter.
  • Assist with coordinating annual conferences, fall events, continuing education workshops, professional development programs, and other special events.
  • Manage event logistics, including registration, scheduling, speaker and presenter coordination, venue communication, catering, technology, materials, and on-site support.
  • Coordinate event related communications, including invitations, registration confirmations, reminders, promotional content, presenter correspondence, and follow up communication.
  • Work closely with the OMP Manager, Membership & Outreach Coordinator, and Continuing Education & Special Events Coordinator to ensure programs and events reflect the needs and interests of members at different stages of their social work careers.
  • Support the development of programs and events that are inclusive of members from culturally and linguistically diverse backgrounds and represent the various areas of social work practice.
  • Create and maintain relationships with presenters, vendors, sponsors, exhibitors, Schools of Social Work, community partners, and other key stakeholders.
  • Maintain accurate event records, timelines, registration information, contracts, invoices, attendance data, evaluations, and other documentation.
  • Serve as the staff liaison to assigned volunteer committees, Shared Interest Groups, or planning committees.

Engagement Services:

  • Supports the development and implementation of member engagement opportunities, including networking events, community conversations, volunteer activities, regional events, and special programs.
  • Collaborates with the Executive Director, OMP Manager, Membership & Outreach Coordinator, and Continuing Education & Special Events Coordinator to identify opportunities to increase member participation and strengthen the overall member experience.
  • Maintains regular communication with chapter volunteers, committee members, presenters, and community partners.
  • Assists with recruiting and coordinating volunteers for chapter events and programs.
  • Supports outreach efforts by attending chapter, community, and partner events, either in person or virtually, as requested by the Executive Director and/or OMP Manager.
  • Monitors event participation, engagement data, and program feedback to assist with evaluating chapter activities and recommending improvements.
  • Supports initiatives that encourage members to become more actively involved with the chapter through committees, volunteer opportunities, programs, and events.

 

Event Coordination:

 

  • Coordinates event timelines and ensures that all planning deadlines and responsibilities are completed.
  • Supports event registration, including monitoring attendance, responding to participant questions, and assisting with registration related concerns.
  • Coordinates communication with speakers, presenters, panelists, sponsors, exhibitors, vendors, and event partners.
  • Assists with identifying venues, caterers, technology providers, and other event related services.
  • Supports the preparation and distribution of event materials, signage, programs, name badges, evaluations, and other resources.
  • Provides on site and virtual event support to help ensure programs operate smoothly.
  • Assists with post event follow up, including evaluations, attendance reports, thank you correspondence, and recommendations for future events.
  • Works with staff to ensure events are promoted through appropriate chapter communication platforms.

 

Additional Responsibilities:

  • Performs other duties as assigned by the Executive Director and/or the Operations, Membership & Programs Manager.
  • Attends and supports chapter events, including annual conferences, fall events, workshops, networking programs, and community outreach activities.
  • Assists with managing event related email accounts and responds to inquiries in a timely and professional manner.
  • This position qualifies for a telework arrangement, as outlined in chapter policy, but is required to work in person at least two days per week. The position will also include some travel to the greater Philadelphia, Pennsylvania area.
  • This position requires evening and weekend availability based on the chapter’s event and program schedule.
  • This position requires access to reliable transportation and the ability to work in the field.
  • Some overnight travel may be required for conferences, retreats, and other chapter events.

 

III. MINIMUM WORK REQUIREMENTS:

 

Skills: 

 

  • Exceptional verbal and written communication skills.
  • Strong organizational and time management skills; able to manage multiple priorities effectively.
  • Ability to build trust and collaborate across sectors and with diverse stakeholders.
  • Critical thinking, problem-solving, and analytical skills.
  • This position qualifies for telework arrangement, as outlined in the chapter policy, but is required to work in-person at least two days per week.
  • This position requires the ability to routinely travel to the Princeton, NJ office, throughout the state of NJ, and the greater Philadelphia, PA area.

 

Knowledge: 

 

  • Bachelor’s degree in social work, or related field required (MSW preferred).
  • Experience in nonprofit, association, or professional membership organization leadership.
  • Knowledge of New Jersey’s continuing education administration and compliance.
  • Demonstrated operational and program management experience.
  • Strong collaboration and stakeholder engagement skills.

 

Experience: 

  • Minimum of 2 years’ experience in operational administration, continuing education program management, or a related field.
  • Experience planning events, workshops, or trainings a plus.
  • Experience with budgeting a plus.
