SUMMARY / OBJECTIVE

The Workers' Compensation & FMLA Coordinator supports the organization's workers' compensation program by processing claims and providing administrative and clerical support from the initial injury report through return to work. This role requires the ability to manage multiple assignments, communicate effectively with employees and managers, and consistently meet deadlines. Primary responsibilities include claim intake, documentation review, claim tracking, and coordination with healthcare providers and insurance partners to ensure efficient, compliant program administration.

ESSENTIAL FUNCTIONS

Claims Intake and Case Management

  • Assess and process workers' compensation injury reports and establish return-to-work agreements.
  • Oversee modified duty assignments and track employee progress through claim resolution.
  • Monitor claims through regular contact with employees, managers, medical providers, and insurance carriers.
  • Investigate workplace incidents to determine causation and establish claim facts.

Leave and Accommodation Administration

  • Evaluate FMLA eligibility and maintain accurate leave documentation.
  • Facilitate the interactive process for ADA accommodation requests.

Documentation and Compliance

  • Document claim details and decisions accurately in required systems.
  • Identify claims requiring leadership review and escalate as needed.
  • Prepare and file regulatory and insurance documentation on schedule.

QUALIFICATIONS

  • High school diploma or GED equivalent required.
  • Strong attention to detail and the ability to manage multiple assignments simultaneously.
  • Excellent written and verbal business communication skills.
  • Proficiency in Microsoft Excel and other standard office software.
  • Ability to meet deadlines and perform effectively under pressure.
  • Tenacity and perseverance in managing clerical and administrative tasks.
  • Basic knowledge of workers' compensation laws, FMLA, and/or ADA regulations preferred.

PHYSICAL DEMANDS

  • This is a largely sedentary role that also requires occasional filing, including the ability to lift files, open filing cabinets, and bend or stand on a stool as needed.
  • Must be able to lift a 50-pound box from the floor to a height of 18 inches and shelve or store it.
  • Must have the physical dexterity to perform repetitive tasks and motions, including bending at the waist and knees, squatting, kneeling, crawling, and twisting, and sustaining these positions for extended periods.
  • Must have sufficient vision and physical ability to safely perform the essential functions of the position.

POSITION TYPE AND EXPECTED HOURS OF WORK

  • This is a full-time position, paid on an hourly basis.
  • Typical days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m., with a one-hour unpaid lunch break.
