Purpose and Distinguishing Characteristics:

Manages the daily operations of the sales support function. Oversees the resource allocation and workflow of all support activities including ordering processing, RFP response, data collection, and the preparation of reports to support sales team. Identifies and resolves operational issues. May resolve complex customer requests or complaints. Manages subordinate staff in day-to-day performance of their jobs. Ensure that project/department milestones/goals are met and adhered to approved budgets. Has full authority for personnel actions.

Essential Job Functions:

  • Develops sales operations systems, reports, and tools that are standardized and meet internal sales and customer business requirement

  • Maintains and manages Sales & Sales Operations procedures and processes

  • Infuses voice of the customer (VOC) to drive sales operations excellence

  • Provides thought leadership in sales operations strategy while interpreting customer (internal/external) needs and requirements.

  • Establishes the department goals and objectives on a yearly basis and reports these goals on a department scorecard

  • Creates detailed automated processes

  • Assist with ISO audits.

  • Develops and coordinates communication between Sales, Marketing, Purchasing, and all other Orbit departments as necessary to ensure sales and customer objectives are met

  • Leads all aspects of Sales Operations in relation to communication, training using the training tracker, inter-company coordination, and reporting systems internally and externally

  • Oversees orders and order error management to meet department objectives

  • Leads Sales Operations associates to meet or exceed the needs and expectations of our customers

  • Provides direction to team members in relation to customer and/or sales projects

  • Coordinates with Forecasting and Sales to ensure the right products, price, and forecast are in the system prior to the company Plan being finalized      

  • Assures a pleasant atmosphere and collaborative environment within the team and with other departments

  • Attends key customer meetings as needed

  • Performs annual performance reviews with each associate

  • Holds one-on-one meetings with each associate as well as Sales Operations staff meetings on a regular basis

  • Ensures that associates are meeting the company Kaizen objectives

  • Participates in all other appropriate divisional and company meetings as required

  • Participates and helps facilitate divisional meetings (planning, location, food, etc.)

Knowledge, Skills, and Abilities:

  • Advanced knowledge in Excel, PowerPoint, Word

  • Excellent analytical thinker who can deliver actionable recommendations out of complex datasets-ability to integrate creativity and analytical horsepower to quickly execute ideas

  • Ability to create and execute complex strategic plans in support of the goals of the organization

  • Proven demonstration of techniques of effective delegation

  • Ability to communicate and understand information and ideas clearly and concisely both verbally and in writing

  • Highly organized, detail planner with strong record of flawless execution/results

  • Ability to strategically plan in support of the organization; proficient in project and task delegation

  • Ability to communicate effectively and professionally with high-level customer personnel

  • Skilled in conflict resolution

  • Ability to manage multiple priorities and tasks to ensure required timelines are met

  • Ability to provide excellent customer service to both internal and external customers.

  • Must be able to problem solve.

Requirements:

  • Bachelor’s degree in related field of study from an accredited university, 5+ years directly related experience, or equivalent combination of education and experience

  • Advanced analytical and problem-solving skills

  • Experience building reports, dashboards, and forecasts

  • Strong stakeholder management and communication skills

  • Ability to translate data into clear, actionable insights

  • Experience in creating SOP’s
