Overview

The successful candidate will be responsible for assisting the Department Manager in the planning, execution, and documentation of the department’s tasking, as well as handling varied administrative / logistical job assignments and tasks, including:

 

  • Manage at least one department information database, including:
  • Run reports and produce data packages from the database(s) in preparation for presentations and reviews, including report compilation and formatting
  • Capture action items and interfacing with action item owners to monitor progress
  • Consolidate and provide status updates to CLB program office
  • Evaluate established process(es) for potential areas of improvement
  • Monitor the department’s overhead budgets and provide reports to management
  • Support monitoring of the department’s cost and schedule performance utilizing EB’s Earned Value Management System (EVMS) and associated business systems
  • Support monitoring, maintaining, and updating of the department’s manpower plan and other resource management efforts, including providing reports to management and coordinating hiring and severance
  • Prepare and issue technical letters, transmittals, conference reports, meeting minutes and presentations to government and other customers
  • Track and report progress on external commitments and technical letters for the department
  • Track department IT assets (phones / computers / etc.) and their appropriate contract allocations, as well as processing IT requests for equipment/software addition or removal
  • Monitor and status Tracking VIRs with Engineers, Senior and Principals as needed
  • Manage access rights for department network drives
  • Maintain training schedules, including ensuring all core department training is up to date and in compliance with training requirements and managing the registration of department personnel in non-core training activities as needed
  • Schedule, coordinate and sometimes chair team status meetings, give presentations at management’s direction and update status on assigned actions
  • Participate in off-site and local project meetings and reviews (possibly requiring travel)
  • Coordinate and expedite management review and approval of products
  • Process travel and expense reports for department personnel
  • Complete administrative forms and maintain records in support of department’s hiring, transfers and severances including updates to the department organization chart
  • Maintain personnel files
  • Order and maintain office supplies
  • General office support and backup support for other Managers/Directors as needed

This position requires supporting the department’s core working hours as defined by the Manager.

Qualifications

Required:

  • High school diploma
  • 5 years experience in an Admin position
  • Strong typing skills (45 WPM min)

Preferred:

  • College degree AND minimum 5 years of technical and administrative support experience
  • Proficiency with Earned Value Management System and Sharepoint

Skills

  • Must possess excellent verbal and written communication skills and the ability to deal effectively with people at all levels
  • Must have strong administrative and organizational skills with the ability to work with limited oversight, set priorities and handle multiple tasks, exercise professional judgment/discretion in executing tasks and maintain a high level of confidentiality
  • Working knowledge of EB’s EVMS and demonstrated ability to compile cost and schedule performance reports
  • Ability to work flexible hours and adapt priorities as required to support emergent issues / department needs
  • Willingness to learn new methods, tools, and processes
