Purpose

The Office Services Coordinator will be primarily responsible for assisting the HR Office Services and Reception functions of the Northbrook office. The position will interact with all facets of the organization.

 

Areas of Responsibility / Tasks

Performance must reflect appropriate level of expertise and achievement of the desired results for the items listed below.   

                

  1. Essential Functions
  • Maintains kitchens and cleans kitchen equipment including coffee machines, refrigerators, microwaves, ice machine, etc. on a daily basis.
  • Facilitates food preparation set-up and break down for meetings, parties and company events, as needed.
  • Submits reservations for the lower level conference room and assists with any meeting requirements, as needed.
  • Conducts conference room sweeps (adjust chairs, wipe down tables, stock supplies, adjust blinds) and restocking paper in office copiers on a daily basis.
  • Continuously monitors and implements best practices for sustainability initiatives.
  • Restocks snacks in the kitchen areas on a daily basis.
  • Assists with ordering and keeping track of inventory of supplies, food, beverages, etc. for the Northbrook office.
  • Handles incoming mail and distributes to designated contacts on a daily basis.
  • Sends out any mail or packages for UPS, DHL, or USPS, as needed.
  • Orders mailing supplies as needed from UPS,  DHL, USPS and FedEx.
  • Troubleshoots/reports malfunctioning office equipment to IT, as needed.
  • Assists with coordination and set up for monthly office events.
  • Manages the Enplug content on open area monitors that shares company updates to employees.
  • Updates the OS Handbook with new processes, contacts, etc.,
  • Distributes new hire swag bags, as needed.
  • Facilitate office events, onsite meeting rooms, and other office needs.
  • Partner with IT on office needs including security badges for employees and troubleshooting/reporting equipment repairs.
  • Coordinate with building management for maintenance or other office needs.
  • Assists the Marketing team with the shipping promotional merchandise, as needed.
  • Manages new vendor set-up for Shared Services on MDM system.
  • Provides assistance to HR & OS Lead on special projects, as needed.

Minimum Qualifications/ Education / Experience / Certifications

  1. Education:
    1. High school diploma or GED
    2. Equivalent experience considered in lieu of degree
  2. Experience:
    1. 1-2 years of related hospitality and office experience, preferred.
  3. Licenses / Certifications:
    1. Valid driver’s license – required
  4. Language:
    1. Proficiency in English required

  3. While performing the duties of this job, the incumbent is regularly required to travel by foot, car, bus, airplane, or other means of transportation which require sitting, waiting, and standing for long and short periods of time.
  4. Ability to setup desk equipment including setting up equipment on top of desks and connecting cables and power cords under desk (requiring lifting, bending, pushing, pulling).

 

Compensation: $23.00/Hour
