Patient Care Coordinator — Are You the Person Who Makes Things Happen?

Full-Time | In-Person | Optimal Health

Some people wait to be told what to do.
Some people see what needs to happen — and make it happen.
We’re looking for the second person.

Optimal Health is a fast-growing chiropractic and physical therapy practice, and we’re looking for an exceptional Patient Care Coordinator to become one of the key people driving our patient experience.

We’re looking for someone who is:
Great with people.
Extremely organized.
Confident on the phone.
Comfortable with sales.
Competitive enough to care about results.
Detail-oriented enough that things don’t fall through the cracks.
And hungry enough to want more responsibility as they prove themselves.

If you’re looking for a job where you can sit behind a desk, answer a few phones, and wait for 5:00…
This isn’t it.

If you love people, move fast, communicate well, and get satisfaction from making things happen…
Keep reading.

The Mission

Our doctors and physical therapists can create an excellent plan for a patient.
But a great plan means very little if the patient doesn’t understand it, doesn’t schedule it, cancels appointments, disappears halfway through care, or never follows through.
Your job is to make sure patients don’t get lost.
You’ll become the quarterback of the patient journey — connecting patients with our doctors, therapists, clinical team, and front office.
You’ll know who needs a phone call.
Who needs to get scheduled.
Who cancelled.
Who hasn’t followed through.
Who has a question.
Who needs to talk to their doctor.
And who said, “I’ll call you later” three days ago and still hasn’t called.
You don’t wait for those problems to find you.
You find them first.

What You’ll Actually Do
You’ll spend your days:
Building genuine relationships with patients Talking with patients in person and on the phone Making outbound follow-up calls every day Helping new patients navigate their first few visits Supporting patients as they understand and commit to their treatment plans Helping patients work through scheduling, financial, and logistical concerns Following up immediately when patients begin falling off their care plan Re-engaging patients who have disappeared Keeping patients appropriately scheduled Coordinating chiropractic and physical therapy care Reinforcing recommendations made by our providers Recognizing when a question needs to go back to a doctor Tracking follow-ups so nobody falls through the cracks Helping our team deliver an exceptional experience in a high-volume practice

There is administration involved.
There are phones.
There is scheduling.
But those are tools of the job — not the purpose of the job.
The purpose is to own the patient experience and help people follow through.

Who We’re Really Looking For
Your resume matters less to us than who you are.
You’re a people person.
You can walk into a room and talk to almost anyone.
You remember names.
You ask good questions.
People tend to feel comfortable talking to you.
You’re great on the phone.
You don’t hide behind text messages.
Calling someone you’ve never met doesn’t bother you.
Neither does calling someone back for the third time because you said you would follow through.
You can sell.
Not the sleazy kind.
The good kind.
You listen.
You figure out what someone is actually concerned about.
You communicate value.
You ask good questions.
And you’re comfortable asking someone to make a decision.
You’re ridiculously organized.
If you tell a patient you’ll call Tuesday, you call Tuesday.
Nobody should need to remind you.
You have some competitive fire.
You like knowing whether you’re winning.
Goals don’t scare you.
Being measured doesn’t offend you.
You’d rather know where you stand and figure out how to improve.
You’re coachable.

We are building detailed training systems around patient communication, follow-up, sales, care-plan recovery, and the entire patient journey.
We’ll teach you.
But we’re going to expect you to learn it, practice it, and get good at it.
You take ownership.
This might be the most important one.
When something becomes yours, it’s yours until it’s finished.
Not: “I left them a voicemail.”
But: “Here’s where that patient stands, here’s what I did, and here’s what happens next.”
That’s the mentality we’re looking for.

Don’t Have Healthcare Experience?
That’s okay.
In fact, we’re open to someone completely outside healthcare.
We can teach you our systems.
We can teach you chiropractic.
We can teach you physical therapy.
We can teach you the patient journey.
We can teach you our approach to communication.
What is much harder to teach is energy, curiosity, ownership, work ethic, confidence, and the ability to connect with people.

You might come from:
Sales
Hospitality
Fitness or wellness
Recruiting
Customer service
Account management
High-end retail
Healthcare
Athletics
Leadership roles
Or somewhere we haven’t thought of

Recent college graduates are absolutely encouraged to apply.
If you’re early in your career but you’re sharp, hungry, organized, and great with people, we want to hear from you.

Why Optimal Health?
We’re not building an average healthcare office.
Optimal Health brings chiropractic, physical therapy, rehabilitation, and other treatment options together under one roof so our providers can work as a team.
We’re busy.
We’re growing.
And we’re actively building the people, training, and systems necessary to take the practice to another level.
That creates opportunity.
The person who earns this role won’t simply be another employee sitting at the front desk.
You’ll have real ownership.
You’ll work directly with doctors, therapists, clinical staff, and leadership.
You’ll learn healthcare.
You’ll learn communication.
You’ll learn sales.
You’ll learn how a growing practice operates.
And if you’re exceptional, there should be more opportunity for you as we continue to grow.

Your Schedule
This is a full-time, in-person position.
Healthcare doesn’t always fit neatly between 9:00 and 5:00, and neither does this role.
Our patient schedule includes some early mornings and evenings.
Some shifts may run until approximately 6:00–7:00 PM, but you will not work late every night.
Expect a mix of earlier and later shifts depending on patient volume and team coverage.
Some evening flexibility is required.

Compensation
Competitive hourly compensation based on experience, demonstrated ability, and fit.
There is also opportunity for performance-based bonuses after successful training and demonstrated competency.

We want someone who likes the idea that great performance creates greater opportunity.

Think You’re Our Person?
Don’t send us the same resume you’re sending to 50 other employers and hope for the best.
Show us.
We’re intentionally putting a small hurdle in the application process.
Why?
Because this job requires people who:
Read. Think. Learn. Communicate. Follow through.
Here’s your first chance.

The Optimal Health Challenge
1. Send Us Your Resume
Easy enough.
2. Do 10 Minutes of Homework
Visit our website: www.optimalhealth.fit
Find one treatment, technique, or service we offer that you didn’t know much about before today.
Then, in 150 words or less, tell us:
What is it?
How would you explain it in simple language to a patient who was nervous or confused about it?
Why did you choose that particular technique?
Don’t copy our website.
We know what our website says.
We want to see how YOU communicate.
3. Now Show Us How You Think
Imagine this:
A patient is several visits into a treatment plan recommended by their doctor.
They cancel their next appointment and tell you:
“Honestly, I’m feeling a lot better. I don’t think I need the rest of these appointments. I’ll just call you if it starts hurting again.”
In 100 words or less, tell us how you would respond.
We’re not testing your medical knowledge.
There isn’t a secret clinical answer.
We’re looking for how you listen, think, ask questions, communicate, and handle a little resistance.
4. Prove You Pay Attention
At the very bottom of your application, write:
“I read the whole thing.”
If it’s missing, your application won’t move forward.

One Last Question
When you read this job description, did something in your head say:
“I’d crush this.”
Good.
We want to meet you.
Complete the challenge and apply.

Send us the information we asked for to: jess@optimalhealth.fit
If we want to move forward, we will contact you.
