The Human Resources Specialist supports the full employment lifecycle by coordinating recruitment activities, managing candidate pipelines, facilitating onboarding, and ensuring a positive experience for applicants and hiring managers. This role partners closely with operations, and department leaders to fill open positions efficiently while maintaining compliance with company policies and employment regulations. In addition to its primary emphasis on employment activities, this role will contribute to other HR functions as detailed below. Travel will be required as needed.

 

This position is expected to act with integrity, professionalism, and confidentiality at all times.

 

ROLES/TASKS OF THE POSITION

 

Employment Lifecycle Management

  • Manage job postings, applicant screening, interview scheduling, and coordination.
  • Process new hires, promotions, transfers, and terminations.
  • Conduct pre-employment steps including background checks, drug screenings, and I-9 verification.
  • Prepare offer letters, onboarding materials, and employment documentation.

 

Onboarding & Candidate Experience

  • Facilitate onboarding logistics and ensure completion of required paperwork.
  • Maintain communication with candidates and hiring managers to ensure a positive experience.

 

Compliance & Recordkeeping

  • Maintain accurate employee records in HRIS (Rippling), including contact information, pay rates, and staffing changes.
  • Ensure compliance with federal, state, and local employment laws and company policies.
  • Oversee DISA compliance, including random drug testing and background check expirations.
  • Conduct pre-employment screenings and complete employment verifications.

 

Recruitment & Selection

  • Collaborate with department managers to develop accurate job descriptions and hiring criteria.
  • Identify and implement recruiting strategies based on role requirements and industry standards.
  • Create job postings and screen applications to select qualified candidates.
  • Prepare interview materials and assist with interview scheduling.
  • Participate in job fairs and recruiting events.

 

Employee Relations & Support

  • Serve as a point of contact for employment-related inquiries from applicants, employees, and supervisors.
  • Address employee concerns and complaints, fostering a positive work environment; escalate sensitive issues as needed.
  • Assist HR Manager or Director with disciplinary meetings, terminations, and investigations.


Training & Development Support

  • Support the development and delivery of LMS courses and maintain training records.
  • Assist with company-wide communications such as open enrollment and benefits updates.

 

Administrative Duties

  • Perform routine HR tasks related to compensation, benefits, leave, disciplinary matters, investigations, performance management, and training.
  • Conduct exit interviews and collect retention data.
  • Answer and direct phone calls.
  • Perform other duties as assigned.

 

EDUCATION & EXPERIENCE

  • Bachelor’s degree in HR or Business Administration.
  • A minimum of one year recruiting or HR experience.
  • Good organizational and communication skills.
  • Computer literate and competent using Microsoft Office.
  • Experience using Rippling is preferred.
  • Self-starter with willingness to learn, collaborate, and contribute.
  • Industrial plant or Construction experience preferred.
  • Bilingual skills preferred.

 

Prerequisites/Requirements:

  • Negative 10 panel urinalysis and breath alcohol test.
  • Valid Driver's License and proof of U.S. Citizenship.
  • Satisfactory background check.
