The Accounts Receivable & Inventory Associate is responsible for supporting dealership accounting operations, including accounts receivable functions, vehicle inventory management, dealer trades, title documentation, schedule reconciliation, and other general accounting responsibilities.


Essential Duties and Responsibilities

  • Manage and maintain accounts receivable transactions and records for assigned dealership entities.
  • Process and record accounting transactions accurately and in a timely manner.
  • Review and reconcile accounting schedules and identify outstanding or aging items requiring follow-up.
  • Research and resolve discrepancies related to customer accounts, vehicle inventory, payments, and accounting records.
  • Maintain accurate account records and perform account maintenance and reconciliations as needed.
  • Post and process wholesale transactions, dealer trades, lease returns, and retired service loaners into the accounting system.
  • Manage and record new and used vehicle inventory with a high level of accuracy and attention to detail.
  • Process dealer trade paperwork and related title documentation.
  • Process used vehicle purchases and ensure supporting documentation is complete and accurate.
  • Handle used vehicle title work and assist with DMV-related documentation and processing.
  • Review vehicle inventory schedules and reconcile discrepancies.
  • Verify pricing, payments, supporting documentation, and other transaction details for accuracy.
  • Maintain organized and accurate accounting and vehicle inventory records.
  • Communicate with management and other departments to research and resolve accounting or inventory discrepancies.
  • Assist with month-end accounting and reconciliation processes as needed.
  • Perform general accounting and administrative duties as assigned.
  • Perform other duties and special projects as assigned.

Qualifications and Requirements

  • Automotive dealership accounting experience is required.
  • Minimum of two years of automotive dealership accounting, inventory, DMV, or related experience preferred.
  • Knowledge of new and used vehicle inventory accounting and title documentation.
  • Previous automotive dealership DMV processing experience preferred.
  • Experience with dealer trades, used vehicle purchases, and vehicle inventory reconciliation.
  • Experience working in a high-volume accounting environment.
  • Familiarity with CDK DMS and DMV Desk systems preferred.
  • Proficiency in Microsoft Excel and Word.
  • Strong attention to detail and accuracy.
  • Strong organizational and time-management skills.
  • Ability to prioritize multiple responsibilities and meet deadlines.
  • Ability to research and resolve accounting discrepancies.
  • Ability to work effectively in a fast-paced environment.
  • Strong written and verbal communication skills.

Education, Training, and Experience

  • High School Diploma or GED preferred.
  • Minimum of two years of automotive dealership accounting, clerical, bookkeeping, accounts receivable, inventory, or similar experience preferred.
  • Previous experience with CDK or another automotive dealership management system strongly preferred.

Physical Demands

  • Must be able to remain in a stationary or upright position for extended periods while performing job duties.
  • Occasionally moves about the office and between offices to access file cabinets, office equipment, records, and other materials.
  • Frequently operates a computer and other office equipment, including telephones, calculators, copy machines, scanners, and printers.
  • Regularly communicates with supervisors, coworkers, vendors, and other departments and must be able to exchange accurate information.
  • Occasionally ascends and descends stairs.
  • Constantly works in a professional office environment.
