Import Compliance & Documentation Control Specialist

The Import Compliance & Documentation Control Specialist is responsible for monitoring import entries, ensuring complete document traceability, tracking compliance milestones, and managing timely closeout of all related records. This role ensures regulatory compliance, accurate recordkeeping, and coordination with internal teams and external stakeholders to prevent penalties, delays, or documentation gaps.


Import Compliance & Documentation Control Specialist Responsibilities:

Import Monitoring & Compliance

  • Monitor all applicable import entries from initiation through closeout.
  • Track critical dates, including entry deadlines, expiration dates, extensions, and re-export requirements.
  • Ensure compliance with customs regulations and applicable trade laws.
  • Coordinate with customs brokers, freight forwarders, and logistics teams to maintain accurate records.
  • Identify and escalate potential compliance risks or approaching deadlines.

Document Traceability & Control

  • Maintain organized and auditable records of all import-related documentation.
  • Ensure traceability between import entries, shipping documents, commercial invoices, packing lists, and proof of export.
  • Verify completeness and accuracy of supporting documentation.
  • Implement and maintain document control procedures and tracking logs.
  • Conduct periodic audits to ensure documentation integrity.

Tracking & Reporting

  • Maintain tracking systems (Excel, ERP, or document management systems) for all active import entries.
  • Provide regular status reports on open, pending, and closed entries.
  • Track documentation deficiencies and follow up with responsible parties.
  • Develop dashboards or summary reports for management review.

Closeout Management

  • Manage entry discharge and closeout processes, ensuring timely submission of required supporting documentation.
  • Coordinate with brokers to confirm proper closure.
  • Ensure all documentation is archived per company retention policies.
  • Confirm final reconciliation and closure in internal tracking systems.


Import Compliance & Documentation Control Specialist Skills & Qualifications/Requirements:

  • Bachelor’s degree in Business, Supply Chain, International Trade, Logistics, or related field preferred.
  • 2–5 years of experience in import/export compliance, customs operations, or trade documentation.
  • Experience managing time-sensitive import programs or special entry types preferred.
  • Familiarity with customs regulations and international trade compliance requirements.
  • Strong attention to detail and organizational skills.
  • Knowledge of customs documentation and import/export processes.
  • Proficiency in Microsoft Excel and document management systems.
  • Ability to manage multiple deadlines simultaneously.
  • Strong communication skills for coordination with internal teams and external partners.
  • Analytical mindset with risk identification capability.


Job Type: Full-time

Location: Hybrid - Norwalk, CT office - Accepting applicants in the NY, NJ area as well.

Salary: $75,000-$85,000 annual salarys
