Position Summary:


The Office Operations Junior Assistant provides administrative and operational support to the Office Operations department. This role will assist with day-to-day office functions that help ensure efficient and effective office operations. The Junior Assistant will gain hands-on experience in a professional office environment while supporting initiatives related to FASB/GASB/FAF.


Position Responsibilities:

 

  • 8:30am Work Café and Beverage Station run
  • Adhere to provided checklist to stock inventory (i.e., cups, plates, bowls, utensils, napkins, coffee, tea, milk, sugar, honey, etc.).
  • Ensure coffee machine is in working order and empty the used pod container.
  • Clean and wipe down tables, chairs, and high-top chairs in each Work Café.
  • Clean and wipe down the counters and island in each location.
  • Deliveries
  • 9:00am newspaper delivery to Marsha Hunt and Information Research.
  • 10:00am mail delivery to staff.
  • Package deliveries to staff upon receipt and obtain staff signature.
  • Copy/print request deliveries to staff upon completion.
  • Office Supply Inventory and Delivery
  • 11:00am check of the SLT drawer for appropriate stock of supplies
  • Prior to 11:00am stock each printer location with supplies based off the Key-Op run that was completed in the morning (i.e., paper, paper clips, binder clips, rubber bands, staples, staplers).
  • Opening Office Operations and Food Service Supply deliveries and placing items into our inventory areas.
  • Lunch/Food Delivery Setups
  • As directed, assist the team when food deliveries are made, and as directed, set up the lunch area with required supplies (i.e., soda, water, snacks, plates, napkins, utensils, ice, cups).
  • As directed, assist the team in setting up coffee/beverage service with supplies (i.e., soda, water, snacks, ice, cups).
  • As directed, assist the team with moving furniture and/or configurations (i.e., chairs).
  • As directed, assist after the event, which may include cleaning and wiping down tables, chairs, counters, and island to reset the location.
  • Boardroom and Conference Room Setups
  • As directed, set up waters and coasters at each seat in the boardroom(s).
  • As directed, set up waters in conference rooms.
  • Housekeeping Items
  • On a monthly basis, clean the radiators in the exterior offices on the 6th and 7th floors. Normally completed on Mondays or Fridays when less staff are in the office.
  • On a monthly basis, dust conference room and work café light fixtures. Normally completed on Mondays or Fridays when less staff are in the office.
  • Follow all department procedures.
