Position Summary:Â
The Human Resources Specialist plays a key role in supporting the Bank's talent strategy and employee experience through recruitment, compliance, and HR administration. This position manages the full recruitment lifecycle, ensures compliance with employment laws and banking regulations, and supports initiatives that promote employee engagement and organizational effectiveness. The successful candidate will be a proactive, service-oriented HR professional who thrives in a collaborative environment and is committed to delivering exceptional support throughout the employee lifecycle.
Duties and Responsibilities:
Talent Acquisition & Onboarding
- Facilitate the full-cycle recruitment process of qualified job applicants for open positions, serving as the primary point of contact for candidates and hiring managers.
- Develop and execute recruitment strategies to attract qualified and diverse talent through job boards, career fairs, professional associations, educational institutions, social media, and other sourcing channels
- Support the recruitment, selection, and oversight of internship programs.
- Administer pre-employment processes, including background checks, credit checks, employment verification, and other required due diligence.
- Prepare offer letters, employment documentation, and welcome materials.
- Complete E-Verify requirements and ensure compliance with hiring regulations.
- Maintain accurate new hire records and onboarding documentation within the HRIS (ADP Workforce Now).
- Plan, coordinate, and facilitate New Hire Orientation to ensure a positive and engaging onboarding experience.
- Analyze HR trends and metrics to identify opportunities for improving recruitment, retention, employee engagement, and organizational effectiveness.
HR Administration & Compliance
- Maintain accurate employee records and personnel files in accordance with legal, regulatory, and Bank requirements.
- Process employee status changes, documentation updates, and HR transactions within ADP Workforce Now.
- Support employee separation processes, including preparation of termination documentation and compliance-related requirements.
- Maintain key HR reports and records, including Signature Authority Logs, status reports.
- Administer Mortgage Loan Originator registrations, renewals, and updates within the Nationwide Multistate Licensing System (NMLS) in compliance with SAFE Act requirements.
- Conduct periodic audits of HR records, bulletin boards, and employment-related postings to ensure compliance.
- Review and update HR content on the Bank's internal and external websites to ensure accuracy and relevance.
- Monitor employment law developments, banking regulations, and HR best practices, applying changes as appropriate.
 Employee Engagement & Culture
- Assist with the planning, coordination, and execution of employee events and recognition programs, including New Hire Orientation, Employee Appreciation events, Summer Picnic, and other employee-focused initiatives.
- Support programs and activities that strengthen employee engagement, workplace culture, and organizational connection.
- Ensure consistent application and enforcement of Bank policies and practices
 Additional Responsibilities
- Provide administrative and project support to the Human Resources team.
- Maintain the highest level of confidentiality and professionalism when handling sensitive employee information.
- Coordinate departmental supply inventory and ordering.
- Complete required training and professional development for successful completion of responsibilities
- Perform other duties and special projects as assigned.
 Knowledge/Skills/Experience Requirements:
- 3 to 5 years’ progressive Human Resources experience.
- Associates degree in Human Resources, Business Administration, or a related field; or an equivalent combination of education and experience.
- Strong knowledge of recruitment strategies, sourcing techniques, and interviewing best practices.
- Working knowledge of federal, state, and local employment laws and regulations.
- Excellent interpersonal, verbal, and written communication skills.
- Strong organizational skills with exceptional attention to detail and follow-through.
- Ability to prioritize multiple responsibilities and meet deadlines in a fast-paced environment.
- Demonstrated problem-solving skills and ability to work independently while maintaining a collaborative approach.
- Proficiency in Microsoft Office Suite and HR technology systems.
- High level of discretion and ability to handle confidential information with professionalism and integrity.
- Experience in banking or other regulated industries preferred.
- Experience with ADP Workforce Now strongly preferred.
