Position Summary:

The Facilities Coordinator supports the effective operation of the Engineering and Environmental Services (EVS) departments. This position manages the Computerized Maintenance Management System (CMMS), monitors work order activity, coordinates vendor and contractor access, supports the execution of contracted services, and maintains accurate records. The Facilities Coordinator plays a key role in facilitating departmental communication, compliance tracking, reporting, and interdepartmental coordination to support a 24-hour casino operation. This position reports directly to the Director of Facilities and provides ongoing operational support across Engineering and EVS departments. This position will report directly to the Director of Facilities.

Essential Functions:

  • Responsible for practicing, supporting, and promoting North Fork Mono Casino's culture and always demonstrating exemplary Service Standards.
  • Serve as the primary administrator for the department's computerized maintenance management system; enter, update, and maintain work orders, preventive maintenance tasks, asset records, contractor assignments, and documentation.
  • Coordinate daily priorities, scheduling, and task flow with the Director of Facilities to ensure efficient execution across both the Engineering and EVS departments.
  • Track work order status, technician updates, labor hours, materials used, and overdue items; ensure accurate and timely recordkeeping.
  • Prepare and distribute daily, weekly, and monthly reports, KPIs, and compliance documentation to support departmental oversight and leadership review.
  • Maintain system integrity by managing asset hierarchies, equipment records, task templates, and standardized workflows.
  • Coordinate vendor and contractor scheduling, site access, and check-ins; track service delivery, verify completion, and assist with documentation related to contracted services.
  • Assist with warranty tracking, purchasing coordination, inventory documentation, and capital planning support.
  • Maintain department calendars related to PM schedules, inspections, safety checks, and recurring compliance deadlines.
  • Support onboarding and training for Engineering staff on system use; provide basic support and guidance to EVS staff as needed.
  • Act as a liaison between Facilities and other departments, ensuring timely follow-up on internal service requests.
  • Assist the Director of Facilities with meetings, interdepartmental communications, and special projects as assigned.
  • Other job-related duties as required.

Required Skills/Abilities:

  • Proficient in using computerized maintenance systems to enter and track work orders, preventive tasks, and asset data.
  • Strong organizational skills and attention to detail in data entry, scheduling, and documentation.
  • Comfortable using Microsoft Excel to prepare basic charts, reports, and summaries.
  • Familiarity with general facilities operations, maintenance terminology, and vendor coordination.
  • Clear written and verbal communication skills; able to interact professionally with team members, vendors, and other departments.
  • Able to manage multiple tasks, follow up independently, and support a fast-paced, service-oriented environment.

Minimum Qualifications:

  • High school diploma or GED required; Associate's or Bachelor's degree in Facilities Management, Business Administration, or a related field preferred.
  • Minimum two (2) years of experience in facilities coordination, maintenance administration, or departmental operations support.
  • Experience with maintenance software or CMMS preferred.
  • Prior experience supporting vendor coordination, compliance tracking, or internal service processes is a plus.
  • Valid California driver's license and insurability required.
  • Must be able to obtain and maintain a Gaming License from the Tribal Gaming Commission, including passing a background investigation.
  • Must be at least 21 years of age.

Physical Requirements:

  • All work is performed on site in Madera, CA.
  • Requires manual dexterity to perform job-related functions.
  • Must be able to walk, stand, bend, reach, and lift up to 25 lbs.
  • Must be able to operate computers, two-way radios, and standard office tools.
  • Work involves extended periods of screen time and radio communication.

Working Conditions:

Work is primarily performed in an office environment but includes frequent movement through back-of-house and mechanical areas to observe field activities or confirm asset information. These areas may be hot, cold, noisy, or contain second-hand smoke. Occasional access to confined spaces or elevated areas may be required. Work does not typically involve strenuous physical activity but may require prolonged standing, walking, or screen time. Appropriate PPE must be worn when entering operational zones. Regular interaction with fellow Team Members, vendors, and other departments is expected.
