Bank of Marin, voted by our employees as one of the Best Places to Work by the North Bay Business Journal 14 consecutive years, is seeking an Administrative Assistant – Credit to join our Credit Risk Management team in Novato.

In this team-oriented role, the Administrative Assistant – Credit provides administrative and operational support to Credit Administration by assisting with loan reporting, credit management functions, information gathering, and departmental coordination.

Essential Job Functions

  • Retrieve and distribute daily and weekly loan department reports, including overdrafts and past-due loans.
  • Retrieve monthly loan department reports for Board reporting purposes (e.g., loan production, maturing loans).
  • Generate and distribute weekly and monthly rate change reports to Loan Operations and Systems Services.
  • Receive and process commercial loan approvals, ensure required approval signatures are obtained, image documents to the Bank’s digital credit file system, and maintain loan approval logs.
  • Schedule and record minutes for weekly Internal Loan Committee meetings.
  • Prepare agendas and schedule quarterly problem loan meetings.
  • Coordinate completion of quarterly problem loan reports and circulate documents for final signatures.
  • Assist the Chief Credit Officer and Credit Administration Officers with projects as assigned.
  • Support Annual Real Estate Reviews, including coordinating vendor site visits and preparing reports.
  • Support audits and loan examinations by retrieving credit files, legal files, loan histories, and related documentation for auditors and examiners.
  • Assist with tickler updates and covenant compliance reporting.
  • Distribute communications to the Commercial Banking Department and/or Credit Risk Management team as directed.
  • Interact with internal departments including Commercial Lending, Construction Lending, Consumer Lending, Accounting, Compliance, and others as needed.
  • Work with Accounts Payable to process vendor invoices for the department.

Additional Requirements

  • Familiarity with bank systems such as FIS, loan and deposit systems, and loan origination platforms.
  • Proficiency in Microsoft Excel and Word.
  • Ability to work independently on small- to medium-sized loan-related projects.
  • Strong attention to detail, organization, and time management skills.
  • Effective written and verbal communication skills.
  • Demonstrated team-oriented mindset with a positive, professional attitude.
  • Ability to present a professional appearance and demeanor with internal and external contacts.

Professional / Educational Experience

  • 2–4 years of related experience and/or training preferred.
  • Associate’s degree (A.A.) from a two-year college or technical school, or an equivalent combination of education and experience.

Compensation & Benefits

The hiring pay range for this position is $28.60 to $38.61 per hour. All Bank of Marin positions are eligible for incentive compensation, which varies by role. Compensation is based on factors including geographic location, experience, education, and skill level.
