Eagle Eye Produce is a premiere grower shipper with more than 30,000 acres under cultivation.  We grow in multiple states in the United States as well as several locations in Mexico.  Our focus is to provide our customers with a year-round supply of the products we grow.  These items include; several Potato varieties including organics, Onions, Watermelon and Nogales Vegetables (Tomatoes, Peppers, Squash, Cucumbers). Job Summary:  The Sales Support Specialist will provide support to the Sales Team by completing the paperwork for the Sales Order process.  This is accomplished by utilizing the information given by the salesperson and collecting and streamlining all the information to be sent to Customers, Shippers and Trucks.


Essential Duties & Responsibilities:

  • Execute accurate order entry through either Electronic Data Interchange (EDI) or manually into Famous with the correct pricing given by the Salesperson
  • Complete and send passing paperwork to the customer notifying them of the order shipment
  • Ensure shipper confirmations match the sales order
  • Initiate and complete paperwork aspect of Trouble Files in Laserfiche documentation for the Salesperson’s approval. Ensure the Salesperson has all documents to send out Trouble information
  • Help track trucks and provide locations/ETAs to Salesperson, our sheds and to customer in a timely manner
  • Research invoice discrepancies between Laserfiche and Famous to discover why there is a discrepancy and, with the Salesperson’s approval, provide the necessary adjustment entries in Famous
  • Help research Short Pays
  • Complete Adjustment Entries to help clean-up aging
  • Enter initial and complete Trouble Notices within Laserfiche
  • Ensure all sales orders are entered correctly from beginning to end
  • Other essential duties as required by business needs


Additional Responsibilities:

  • Assist Sales Operations Manager with various office tasks
  • Back-up fellow Support staff
  • Other duties as required by business needs


Knowledge, Skills & Abilities:

  • Must be reliable and extremely trustworthy
  • Proficient with Microsoft Office 365 and other software used in our business
  • Ability to manage multiple projects and initiative with tight deadlines
  • Strong written and verbal communication skills
  • Ability to prioritize competing demands in a logical manner
  • Excellent organizational skills and attention to detail
  • Proficient in the English language in order to communicate effectively with fellow staff and customers


Additional Qualifications:

  • Minimum Education Required: High School diploma or equivalent      
  • Minimum Experience Required: 1 – 2 years office experience with office equipment


Supervisory Responsibilities:

  • No Supervisory responsibilities are associated with this position


Expected Hours of Work:

  • This position requires approximately 40 hours per week as needed to meet the demands of the business and complete the responsibilities of this position


Work Environment:

  • Duties and responsibilities are performed primarily in an office setting
  • This role routinely uses standard office equipment

 

Physical Demands:

  • Prolonged periods of sitting at a desk and working on a computer
  • Ability to speak to and hear customers and /or other employees via phone or in person
  • Must be able to lift up to 15 lbs.
