In this role, you’ll support Collegis Education’s technology operations by overseeing the procurement, vendor coordination, inventory management, and cost optimization of IT assets across Collegis and its higher education partners.


This role exists to manage and optimize a large portfolio of IT assets, ensure timely and cost-effective procurement, maintain vendor and contract compliance, and identify opportunities to improve asset utilization, inventory accuracy, and procurement outcomes.


What You’ll Do:

  • Develop, implement, and oversee procurement strategies that align with the company’s objectives. Identify key vendors, manage supplier relationships, and negotiate contracts for favorable pricing and terms. Ensure that procured items meet required quality standards and are delivered on time.
  • Establish and maintain relationships with vendors, managing their performance, compliance, and resolving issues related to invoicing, delivery, and contract terms. Lead negotiations for high-value contracts and pricing agreements to secure the best deals.
  • Oversee IT inventory, including hardware, software, and telecom assets, ensuring timely updates, replacements, and tracking. Optimize asset utilization and ensure compliance with corporate and legal guidelines.
  • Assist with the preparation of capital and expense budgets for IT assets. Ensure accurate invoice processing, and provide the necessary details for accounting treatment. Collaborate with IT, finance, and accounting teams to ensure accurate procurement and inventory reconciliation.
  • Adhere to and enforce information security policies to safeguard company data and ensure procurement activities comply with company policies, procedures, and regulatory requirements. Report any security-related issues promptly.
  • Manage complex issues related to procurement, such as vendor disputes, incorrect invoicing, and delivery problems, ensuring timely resolution while maintaining strong supplier relationships.
  • Stay informed on IT trends, emerging technologies, and market advancements to make data-driven purchasing decisions that align with business needs.
  • Maintain accurate records of all procurement activities, purchases, contracts, invoices, and vendor communications, ensuring compliance with policies and regulatory standards.
  • Lead and mentor junior procurement staff, fostering a collaborative work environment, and providing guidance on procurement processes. Collaborate with internal IT teams, vendors, and external partners to drive efficiency and optimize procurement outcomes.


What You'll Bring: Experience & Skills

  • Over 5 years of experience in IT procurement, asset management, or a similar role.
  • Ability to work independently, managing multiple procurement activities simultaneously, while ensuring accuracy and compliance.
  • Analytical mindset with the ability to identify cost savings opportunities and process efficiencies.
  • Excellent organizational, negotiation, and communication skills.
  • Experience in higher education procurement or asset management is preferred, as it provides valuable insight into the unique needs and processes of educational institutions.
  • Familiarity with IT asset management tools and software, as well as asset lifecycle management.
  • In-depth understanding of technology contracts, including software licensing agreements, hardware procurement, and vendor management.
  • Strong background in IT procurement, with experience managing large-scale asset portfolios.

Requirements

 Education & Certifications:

  • Bachelor of Science, Computer Science, or MIS degree or equivalent experience

Work Environment & Schedule:

 

Collegis employs team members in a variety of locations across the country, supporting a flexible and distributed workforce. Depending on candidate location, this position may be structured as either remote or hybrid. Candidates located within 60 miles of our Oak Brook, IL office or a partner school will be expected to follow a hybrid schedule, working onsite 2–3 days per week to support collaboration and team engagement, while those outside this radius may work fully remotely. Specific expectations based on location will be discussed during the interview process.
