Parsons is seeking a Senior Document Control and Document Administration experience to support our growing operations in Oakland, California.
In this role, you will be responsible for managing project and corporate documentation, ensuring compliance with internal standards and client requirements, and providing high-level administrative support to project teams and leadership. You will play a key role in maintaining the integrity, accessibility, and traceability of documents across complex engineering and construction projects.
Key Responsibilities
- Manage document control processes for one or more projects, including receipt, review, formatting, numbering, distribution, and archiving of documents.
- Maintain and administer electronic document management systems (EDMS) and shared drives in accordance with Parsons and client standards.
- Establish and enforce document control procedures, naming conventions, and version control practices.
- Coordinate the flow of project documentation between internal teams, clients, consultants, and subcontractors.
- Track and report document status, including submittals, RFIs, transmittals, drawings, specifications, and correspondence.
- Ensure that all documentation is accurately logged, indexed, and stored for easy retrieval and audit readiness.
- Support the preparation, formatting, and quality review of project deliverables, presentations, reports, and correspondence.
- Provide senior administrative support to project managers and leadership, including scheduling, meeting coordination, and preparation of meeting minutes and agendas.
- Assist with onboarding of new team members into document control systems, including user setup and basic training.
- Coordinate with IT and corporate support teams to resolve document system issues and implement improvements.
- Support compliance with contractual, regulatory, and Parsons quality requirements related to documentation and records management.
- Contribute to process improvement initiatives in document control and administration to increase efficiency and consistency.
Required Qualifications
- Education:
- High school diploma or equivalent required.
- Associate's or bachelor's degree in business administration, information management, or related field preferred.
- Experience:
- Typically 5+ years of administrative experience, with significant responsibility in document control/document administration within engineering, construction, architecture, transportation, or similar project-based environments.
- Demonstrated experience using document control systems (e.g., Aconex, ProjectWise, SharePoint, Procore, or similar platforms).
- Technical Skills:
- Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Solid understanding of version control, document numbering, and transmittal processes.
- Experience working with PDFs, markups, and basic document formatting and publishing.
- Soft Skills:
- Excellent organizational and time-management skills with a strong attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
- Demonstrated ability to work collaboratively with multidisciplinary teams and external stakeholders.
- Location:
- Ability and willingness to work on-site in Oakland, California, with potential hybrid flexibility aligned with project and client needs.
Preferred Qualifications
- Prior experience working for a major engineering, construction, or transportation organization.
- Familiarity with public agency projects (e.g., city, county, state, or transit agencies) in California.
- Knowledge of records retention, audit requirements, and quality management processes.
- Experience onboarding and training others in document control processes and tools.

Salary Range: $29.95 - $52.40
