Spectrum Matters, a dedicated provider of Applied Behavior Analysis (ABA) services for children on the autism spectrum and other related disorders in South Dakota, is seeking a detail-oriented and proactive Administrative Assistant to join our committed team. Our organization is focused on empowering families and individuals affected by Autism Spectrum Disorder (ASD) by offering knowledge-driven strategies tailored to each person's potential to live their best life. We pride ourselves on delivering high-quality therapy through Registered Behavior Technicians (RBT) under the supervision of Board Certified Behavior Analysts (BCBA), maintaining excellence through ongoing training and research-based practices. As an Administrative Assistant at Spectrum Matters, you will play a critical role in supporting our comprehensive team by managing daily operations, facilitating communication between families and clinicians, and ensuring the smooth execution of administrative tasks. Responsibilities
  • Manage daily office operations and maintain a well-organized work environment.
  • Answer phone calls, respond to emails, and communicate effectively with families, clinicians, and staff.
  • Schedule appointments, therapy sessions, and team meetings, coordinating calendars to optimize workflow.
  • Maintain and update client records, ensuring confidentiality and compliance with HIPAA regulations.
  • Assist with billing, insurance verification, and documentation required for service provision and reimbursement.
  • Support the collection and organization of data related to therapy services for progress tracking.
  • Coordinate training sessions and in-services for staff, ensuring logistical arrangements and materials are prepared.
  • High school diploma or equivalent; Associate’s degree or higher preferred.
  • Proven experience in administrative roles, preferably within healthcare or mental health settings.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency with office software including Microsoft Office Suite and electronic health record systems.
  • Ability to maintain confidentiality and adhere to privacy regulations such as HIPAA.
  • Capable of multitasking and managing priorities in a fast-paced environment with a compassionate and patient approach.
