Our mission is to empower our diverse healthcare workforce to advance in a changing environment through innovative education and training solutions.  Our program and budget have doubled in scale over the last five years to provide career advancement and continuing education services to 20,000 learners annually, and we are positioned for continued growth with new partners and funding. Principal Purpose of Job: This position is responsible for providing administrative and program support as related to classes, workshops, and other training offerings, and as such, requires excellent customer service in interacting with members, partners, and providers.  Level of Authority: Performs duties as directed by managers and directors in accordance with general policies and procedures.  Work Environment: Most of the work is performed in a fast-paced office setting with frequent interruptions and a diversity of people and tasks Program Assistants may occasionally need to work in a different office location.  Essential Job Functions •   Review and process program applications. •   Work with the EA (Enterprise Applications) team to build out applications on the website. •   Enter enrollments, data entry, and checking for accuracy. •   Owning learner application follow-up. •   Reporting of application processing between the application phase and school enrollment. •   Provide a list of approved learners to vendors. Maintain an understanding of learner goals, and attend monthly provider check-ins.  Additional Job Functions •   Effectively manages tasks and responsibilities, ensuring that all assignments are completed on time and with high quality. •   Proactive in identifying, communicating, and resolving issues and challenges that arise during the course of their work. •   Articulates ideas and feedback clearly. •   Seeks out opportunities to expand their knowledge and skills to stay up to date. •   Actively provides weekly updates and reviews data. •   Streamlines processes, manages documents, and maintains accurate records. •   Knowledgeable about their program budget and goals. Uses this knowledge to plan and ensure accuracy when processing applications. •   Grants/Apprenticeship Team: Maintains credentials and working knowledge of state and federal database systems in order to create and close out apprentice and/or participant profiles on external databases/portals and takes notes during JAC Meetings.  QualificationsQualifications and Capabilities •   3 to 5 years of general office experience in a union or nonprofit •   Strong organizational skills, with excellent record-keeping and the ability to work concurrently on multiple projects •   Good verbal and written communication skills •   Knowledge of desktop publishing and database applications •   Minimum technical skills must include an advanced level of Microsoft Office (Outlook, Word, Excel, PowerPoint, and Access). •   An accounting background is a plus. •   Demonstrated organizational skills and ability to meet concurrent deadlines with good attention to detail. •   Professional phone manners and good customer service skills. •   Mature and level-headed with good judgment and tact. •   Ability to manage multiple tasks and multiple reporting relationships. •   Commitment to goals and values of organized labor and social justice. •   Sensitivity to a multicultural workplace and outside constituency. •   Some knowledge of the healthcare field and/or healthcare education. Physical Demands: •   Ability to sit at a workstation for extended periods of time. •   Ability to stand, work, and drive occasionally from one location to another. •   Ability to lift and carry up to 35 lbs.
