SUMMARY STATEMENT OF POSITION

The Office Administrator serves as the primary front desk and office support professional for HopeLink, ensuring a welcoming, responsive, and efficient office environment. This position provides reception services, assists clients and visitors, coordinates office operations, supports designated administrative functions, and helps ensure smooth day-to-day facility and organizational operations.

SCHEDULE & LOCATION:

  • Monday - Friday, Core hours: 10 am - 6 pm
  • Oakton,VA

PRIMARY DUTIES

  • Provides primary front desk coverage, welcoming visitors, answering inquiries, and maintaining a professional, customer-focused reception area.
  • Answers the main phone line, responds to general questions about services, conducts basic screening, and transfers callers to the Central Access Clinician on duty or the Care Navigation team as appropriate.
  • Coordinates office operations, including scheduling conference rooms and shared spaces.
  • Maintains office supply inventories and places orders to ensure adequate stock of office, program, and business materials
  • Receives and records checks and other incoming payments in accordance with organizational procedures.
  • Processes outgoing mailings and coordinates postage, shipping, and package distribution.
  • Provides basic administrative support to designated Executive Team members, including scheduling meetings, coordinating calendars, and assisting with routine administrative requests.
  • Provides administrative support to programs and departments for travel-related needs, including coordinating reservations and travel logistics as assigned.
  • Serves as the primary liaison with building management to coordinate maintenance, cleaning services, repairs, and other facility-related needs.

QUALIFICATIONS

  • High school diploma; Associates degree preferred.
  • 3+ years of administrative experience, preferably in a behavioral health or healthcare setting.
  • Excellent computer and organizational skills; advanced skills with Microsoft Excel and Word.
  • High degree of empathy toward the individuals and families we serve.
