Job DetailsJob Location: Cone Distributing Inc Ocala - Ocala, FL 34482Objective Under limited supervision, the HR Generalist will ensure that HR Department’s operations run smoothly and effectively in a way that promotes and enhances the company core values and adds benefit to its team members and the organization. The role is far from one-dimensional, undertaking a wide range of HR tasks such as organizing training, administering benefits and leaves and crafting HR policies.  The HR Generalist will use Human Resource Information Systems (HRIS) to ensure all team member records are up-to-date and confidential.  The HR Generalist will also act as the main point of contact for team members’ queries on HR-related topics.   Responsibilities/Expectations Compliance & Human Resources Administration Develop and maintain a thorough understanding of federal, state, and local employment laws and regulations, working closely with the Human Resources Director to ensure company policies and practices remain compliant. Assist in the development, implementation, and maintenance of HR policies, procedures, and best practices. Maintain accurate and confidential employee records, personnel action forms, licenses, certifications, and required documentation remain current within the Human Resources Information System. Process employee status changes, including personnel action forms, internal transfers, promotions, and other employee updates. Prepare correspondence, presentations, announcements, flyers, and other company communications as requested. Generate HRIS and management reports for internal departments and leadership. Respond to employee and former employee inquiries in a professional and timely manner. Process employment verification requests. Manage HR-related administrative assignments delegated to the receptionist, assist and cover as needed. Talent Acquisition & Onboarding Assist with talent acquisition and recruitment efforts from requisition through onboarding. Review and process employment applications and monitor candidate progress throughout the hiring process. Schedule, coordinate and participate in internal and external interviews. Coordinate and track pre-employment requirements, including background checks, drug screens, physical examinations, motor vehicle records, and any additional pre-employment testing. Prepare orientation materials and assist to facilitate new hire orientation programs. Update new hire personnel records and onboarding documentation. Benefits Administration Administer employee benefit programs including medical, dental, vision, life insurance, disability insurance, accident insurance, and the 401(k) retirement plan. Coordinate benefit enrollments, changes, qualifying life events, and terminations utilizing the HRIS system. Lead annual Open Enrollment activities, including employee education, enrollment support, and benefit maintenance. Verify monthly insurance premium invoices and reconcile discrepancies with benefit carriers. Resolve benefit-related issues with insurance providers and HRIS carrier feeds. Assist employees with benefit questions, claims, Short-Term Disability, and Family and Medical Leave (FMLA) administration. Maintain documentation and compliance with all applicable leave and disability regulations. Administer the personnel functions of the Company's 401(k) plan in coordination with the Accounting Department.         Employee Relations & Performance Management Serve as a resource for employees regarding HR policies, procedures, compensation, benefits, and employment-related concerns. Foster positive employee relations through proactive communication and timely issue resolution. Participate in corrective action meetings and performance discussions. Review performance documentation for consistency and policy compliance. Coordinate and conduct employee exit interviews. Prepare employee separation documentation, including termination letters. Promote Team Cone Core Values to create a positive, respectful, and conflict-free workplace. Safety, Workers' Compensation & DOT Compliance Coordinate workers' compensation claims from initial injury through claim resolution. Triage workplace injuries and coordinate post-accident drug screens and medical treatment. Manage employee out-of-work injury and illness documentation and return-to-work processes. Coordinate vehicle accident reporting and insurance claim follow-up. Maintain OSHA recordkeeping and prepare annual OSHA reporting as required. Monitor Department of Transportation (DOT) compliance, including driver's license and medical certificate expirations. Coordinate DOT random testing authorizations and employee notification monthly. Reporting & Operational Support Gather, analyze, and report HR metrics including turnover, time-to-fill, and other workforce analytics. Review HR and compliance alerts, investigate discrepancies, and complete required follow-up. Process monthly vendor invoices, coding, and departmental billing as assigned. Maintain company communication platforms and employee information displays. Prepare departmental reports, including referral tracking reports and other operational reports. Provide timely HR support to all departments, with particular emphasis on Operations and Sales. QualificationsPosition Requirements Five years proven experience as an HR Generalist with a desire to work as a team with a “results driven” approach, including clerical and administrative knowledge pertaining to benefits, company and departmental policies and procedures. Good computer skills including Excel, Word, PowerPoint and Outlook, experience with Paycom preferred. Must be able to communicate and interact effectively (both orally and written) with team members, management, upper management and outside providers with diplomacy, tact and discretion, ensuring confidentiality of team member and company information. Ability to handle most HR related issues in the absence of the HR Director or communicate issue to HR Director for timely resolution. Must be an active member of the local HR Chapter & National SHRM.   Education Requirements BS/BA in Business Administration or relevant field preferred; additional HR experience a plus. Will consider experience plus education in the field of Human Resources in lieu of degree.
