The Medical Assistant - Front & Back Office is a dynamic, cross-functional role responsible for delivering an exceptional patient experience from check-in to discharge. This position blends clinical excellence with front office coordination, ensuring smooth patient flow, operational efficiency, and high-quality care in a fast-paced urgent care environment.

This role is ideal for a highly adaptable team member who thrives in both patient-facing administrative responsibilities and hands-on clinical care. The ideal candidate is patient-focused, empathetic, organized, and confident working independently while collaborating closely with providers and clinic leadership.

Flexibility to work weekdays, weekends, and some holidays is required.

WHAT YOU’LL DO

Front Office Responsibilities

  • Serve as the first and last point of contact for patients, ensuring a welcoming and professional experience
  • Greet and register patients accurately and efficiently
  • Verify insurance coverage, collect copayments, and explain financial responsibilities
  • Schedule patients across multiple visit modalities
  • Introduce and support patients with digital tools such as the Carbon app
  • Manage phone calls, triage inquiries appropriately, and coordinate communication with providers
  • Prepare referrals, process lab paperwork, and support administrative workflows
  • Respond calmly and effectively during high-volume or emergency situations (e.g., calling 911, coordinating EMS arrival)

Back Office / Clinical Responsibilities

  • Room patients, obtain vitals, collect medical history, and assist with triage
  • Assist providers with procedures including laceration repair, incision and drainage, splinting, and wound care
  • Administer medications via intradermal, intramuscular, and subcutaneous routes
  • Perform ear lavages, EKGs, and point-of-care testing (UA, UPT, glucose, monospot, rapid strep, influenza, rapid HIV, etc.)
  • Maintain clean, stocked, and organized exam rooms
  • Support workflow efficiency to ensure timely patient throughput
  • Complete required training to become DOT-certified for Urine Drug Screens and Breath Alcohol Testing

Team & Operational Support

  • Transition seamlessly between front and back office based on clinic needs
  • Collaborate with providers and leadership to improve workflow and patient satisfaction
  • Maintain accurate, timely documentation in a paperless EMR environment
  • Uphold patient confidentiality and compliance with regulatory standards

ABOUT YOU

  • High school diploma or equivalent
  • Certification from an accredited Medical Assistant program (where required by law)
  • Current BLS certification (or willingness to obtain)
  • Willingness to obtain DOT certification (Only if CMA)
  • 1+ year experience as a Medical Assistant preferred but not required
  • 1+ year experience in a medical receptionist or fast-paced healthcare setting preferred
  • Strong understanding of medical insurance processes (deductibles, copays, coverage) preferred
  • Phlebotomy experience preferred
  • Ability to type 30+ WPM and comfort using Google Suite and EMR systems
  • Exceptional multitasking, time management, and critical thinking skills
  • Calm and focused under pressure
  • Professional, empathetic, and team-oriented
