Position Overview

Location: Offutt Air Force Base, Nebraska
Schedule: Full-time, on-site; Monday-Friday, 7:30 a.m.-4:30 p.m., excluding federal holidays
Work Arrangement: 100% onsite
Clearance: Secret clearance required 
Citizenship: U.S. citizenship required

Position Summary

The Executive Assistant will provide administrative, clerical, and data-entry support to senior leadership within the 55th Wing Office of the Staff Judge Advocate (55 WG/JA). This position requires exceptional professionalism, organization, communication skills, and discretion when handling sensitive, strategic, personnel, and confidential information.

Key Responsibilities

  • Manage executive calendars, appointments, meetings, and scheduling.
  • Serve as a primary point of contact between leadership and external agencies.
  • Track deadlines, deliverables, and other matters requiring timely completion.
  • Prepare, edit, and maintain emails, correspondence, reports, presentations, briefing materials, spreadsheets, and other documents.
  • Answer and respond to telephone, email, and in-person inquiries professionally.
  • Attend meetings and conferences and complete follow-up activities as requested by leadership.
  • Perform general administrative, clerical, office-management, and data-entry duties.
  • Scan, upload, organize, and maintain electronic records.
  • Handle sensitive personnel documents in accordance with applicable laws, regulations, and policies.
  • Apply military protocols and administrative information-management procedures.
  • Maintain productive working relationships with installation personnel, community organizations, and external agencies.
  • Safeguard Government information, property, records, equipment, keys, and access credentials.

Minimum Qualifications

  • Associate degree in any field.
  • At least one year of clerical or data-entry experience in an office environment.
  • At least one year of experience working in a military environment.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Knowledge of administrative procedures, office-management practices, records management, and military protocol.
  • Strong organizational, customer-service, and deadline-management skills.
  • Excellent written and verbal communication skills.
  • Ability to read, write, speak, and understand English fluently.
  • Ability to exercise sound judgment and maintain absolute confidentiality.

Security and Employment Requirements

  • Must be a United States citizen.
  • Must successfully complete required criminal, financial, fingerprint, suitability, and national-security background investigations.
  • Must be eligible to receive a Common Access Card and access Air Force information systems.
  • Must complete required Government orientation, security, privacy, information-assurance, and annual training.
  • Must maintain a professional, conservative, and neat appearance consistent with the office’s business-casual dress requirements.
