CUSTOMER SERVICE REPRESENTATIVE

Division: Treasury - Utility Billing

Pay Grade: GRADE 105; $37,351.23 - $54,159.29 Annual Salary ($17.96 - $26.04 Hourly)

FLSA Status: Non-Exempt, Full-Time, Eligible for Benefits

GENERAL PURPOSE

This position performs a variety of routine clerical accounting duties, including processing payments, preparing bank
deposits, and responding to customer complaints and inquiries. Receives general supervision from management staff.

ESSENTIAL JOB FUNCTIONS

  • Interact with city customers and the public to resolve questions, respond to concerns, and initiate service requests.
  • Provide information on departmental and city policies and procedures.
  • Maintain knowledge of city policies, procedures, initiatives, and activities, and successfully communicate such information in person, by phone, or other communication solutions used by the city.
  • Review utility accounts, provide analysis, and propose resolutions for account or billing errors, excessive utility usage, or improper use of city services.
  • Process payments for city services and successfully balance cashiering transactions using the city's financial software.
  • Perform other clerical duties to support the functions of the department to which assigned.
  • Enter data from various sources, including accounting, statistical, and related documents; input corrections and updates; verify data for accuracy and completeness.
  • Assist in the compilation of reports.
  • Operate a variety of modern office equipment, including computers and copiers.
  • Perform various clerical duties in support of department functions; participate in routine record-keeping duties.
  • Retrieve, sort, and distribute incoming and outgoing correspondence.
  • Participate in safety and risk management activities; take action to reduce liability to the city.
  • Attendance and punctuality are essential functions of this position. Employees are required to work as a team, frequently meet with co-workers and supervisors, communicate in person with the public during office hours, and use on-site equipment.

EDUCATION AND EXPERIENCE REQUIREMENTS

  • At least one year of financial sector customer service experience.
  • High school diploma or its equivalent.
  • Any combination of experience and education that would likely provide the required knowledge and abilities may qualify.

SPECIAL REQUIREMENTS

  • Possession of, or ability to obtain, an appropriate, valid Utah driver's license.
  • Employees will be required to complete NIMS IS100 and IS700 within six months of hire.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of modern office procedures and technology.
  • Knowledge of the principles of business letter writing and report preparation.
  • Knowledge of the operations, services, and activities of the city.
  • Skill in operating office equipment, including a computer.
  • Skill in typing at a speed necessary for successful job performance.
  • Ability to perform data entry while speaking on the phone
  • Skill in maintaining schedules and meeting deadlines.
  • Skill in maintaining records and preparing computer-generated reports.
  • Skill in communicating clearly and concisely, both orally and in writing.
  • Ability to understand and follow oral and written instructions.
  • Ability to establish and maintain effective working relationships with those contacted in the course of work.
  • Ability to maintain mental capacity, which allows for effective interaction and communication with others.
  • Ability to maintain physical condition appropriate to the performance of assigned duties and responsibilities, which may include sitting for extended periods of time and operating assigned equipment.
  • Ability to maintain effective audio-visual discrimination and perception is needed for making observations, communicating with others, reading and writing, and operating assigned equipment as required by the position.
  • Ability to comply with all city policies and regulations, including safety and risk management standards.

WORKING CONDITIONS & PHYSICAL REQUIREMENTS

  • The work environment is primarily inside, where the noise and temperature levels are moderate.
  • The work is sedentary to light work, which requires exerting up to 25 pounds of force occasionally, 10 pounds of force frequently, and/or a negligible amount of force constantly to lift, carry, push, pull, or otherwise move objects, including the human body.
  • Must possess the visual ability to see clearly at close (less than 20 inches) and far (20 feet or more) distances, identify and distinguish colors, observe an area that can be seen up and down or the left and right while eyes are fixed on a given point, and adjust the eye to bring an object into sharp focus.
  • Additionally, the following physical abilities are required: standing, walking, sitting, using hands and fingers to handle or feel, reaching with hands and arms, stooping, kneeling, crouching, talking, and hearing.
