Family Health Centers is seeking a Special Assistant to the CEO—a high-level executive partner and true force multiplier for our Chief Executive Officer. This is not a typical administrative role. As Special Assistant, you will sit at the intersection of strategy, operations, and leadership across our expanding rural healthcare network and subsidiaries.

You will act as an essential link translating the CEO’s vision into organizational action, serving as an authorized surrogate in key meetings, diving deep into operational data alongside the COO, and driving high-stakes initiatives to 100% completion.   • Governance & Board Partnership: You will manage the full lifecycle of Board of Directors operations, keeping governance running seamlessly and ensuring directives turn into immediate action.

Key Responsibilities

1. Executive Proxy & Strategic Gatekeeping

  • Act as an authorized voice and representative for the CEO in internal and external engagements.

  • Serve as the primary triage point for the CEO’s office, evaluating priority issues, resolving complex matters independently, and routing items efficiently.

  • Draft high-priority internal and external communications in the CEO’s distinct tone and voice.

2. Operational Intelligence & Reporting

  • Gather, synthesize, and analyze data from field operations and executive teams to build comprehensive briefings, surfacing risks, trends, and opportunities.

  • Track organizational performance against key health network KPIs; lead factual "deep dive" investigations into operational bottlenecks or unmet targets.

  • Track grant deliverables, timelines, and reporting milestones to keep the CEO fully informed of progress.

3. Board Lifecycle & Governance Execution

  • Own end-to-end board management: agenda creation, material compilation, distribution, minute-taking, and tracking 100% completion of board directives.

  • Maintain strict alignment with bylaws, committee structures, quorum guidelines, and documentation standards.

  • Maintain functional working knowledge of key regulatory and reporting requirements (e.g., HRSA, UDS, governance standards).

4. Action Tracking & Executive Readiness

  • Maintain a high-precision task and project tracking system to guarantee accountability across cross-departmental initiatives.

  • Fully prepare the CEO for every engagement, site visit, or board meeting with complete briefing packs, presentations, and background context.

  • Oversee complex scheduling logistics, high-priority correspondence, and urgent operational crisis comms (e.g., site disruption updates).

  • AI & Tech Savvy: Proficient in using AI tools and automation to streamline workflows, draft communications, and synthesize large volumes of information rapidly.

  • Data-Driven & Objective: Exceptional ability to gather facts, interview stakeholders, and present unbiased, actionable insights without emotional tilt.

  • Diplomacy & Authority: Proven capability to speak with authority on behalf of C-suite executives while building warm, trusting relationships at every level of the organization.

  • Uncompromising Discretion: Flawless track record of managing sensitive personnel, financial, and organizational data with complete confidentiality.

  • Project Mastery: Advanced project management skills with zero tolerance for dropped balls or untracked action items.

Qualifications & Experience

  • Education: Associate’s Degree required; Bachelor’s Degree (BA/BS) strongly preferred.

  • Experience: Significant background in high-level executive support, strategic administration, or operational project management.

  • Healthcare Context: Experience within a Federally Qualified Health Center (FQHC) or rural healthcare setting is highly valued, though candidates with strong transferable skills from other complex sectors are encouraged to apply!
