Responsibilities
The Scheduling Specialist Sr. is responsible for performing advanced scheduling, registration, and patient access functions to support efficient operations and a positive patient experience. Responsibilities include, but are not limited to:
- Performs complex scheduling and registration activities, including handling incoming calls, scheduling patients with required clinical and demographic information, verifying patient data, collecting point-of-service payments, providing preparation instructions, and ensuring proper documentation in accordance with established standards.
- Completes advanced patient access functions such as insurance verification, eligibility review, patient financial responsibility estimation, and authorization requirements using available systems and protocols.
- Manages high call volumes while multitasking in a fast-paced environment, maintaining a professional, courteous, and service-oriented approach with patients, providers, and internal departments.
- Resolves routine patient inquiries and reimbursement questions, ensuring timely and accurate responses.
- Handles inbound and outbound communications with patients, physician offices, and insurance carriers to promptly resolve issues.
- Collects patient payments and follows established financial clearance processes within defined levels of authority.
- Serves as a liaison for complex patient access and account issues, providing guidance and acting as a subject matter expert for Scheduling Specialists.
- Provides training, coaching, and feedback to staff on processes, systems, and payer requirements, while monitoring productivity and work assignments.
- Supports and leads process improvement and continuous quality improvement initiatives, including goal setting, progress tracking, and data preparation for reporting.
Ensures compliance with performance standards, organizational policies, third-party requirements, and applicable federal and state regulations, including EMTALA and HIPAA.

Qualifications
- 4 years of Patient Access operations activities (scheduling/registration/insurance) or related experience (billing, collections, customer service) in a hospital or physician's office setting
- Previous experience with Microsoft Office programs and experience with admission/discharge/transfer or billing/claims management software
- Previous experience with medical terminology, basic ICD 10 and CPT coding healthcare program reimbursement and methodologies
Preferred Qualifications:
- Bachelor's degree in related field or Healthcare Certification (AAHAM CRCS, HFMA CRCR, NAHAM CHAA)
