The Office Manager works closely with both employees and leadership. They will manage the workflow of the reception and office areas while assisting administrators with various tasks and duties.

Education and experience requirements:  

  • High School Diploma or GED is required.

  • Three or more years of related experience. Requires Intermediate computer skills in typing/keyboarding, Microsoft Word and Excel programs as well as Outlook email

Licensure & Certifications:

  • Valid driver’s license and auto insurance required.

  • Must be at least 21 years of age.

What you will do: 

• Ensure the lobby and front desk area are look presentable, clutter free and kept clean; counter top and desk area and phone/computer should be cleaned daily

• Order and maintain supplies for the office

• Assist with fleet vehicle management

• Send documents to court and other professionals (i.e. court reports, reintegration plans, travel letters, etc.)

• Run background checks for those associated with CINC cases

• Retrieve, sort, open and distribute mail, distribute incoming faxes to appropriate staff

• Retain and update medical record forms, complete medical record requests, complete medical record audits and enter information into consumer database

• Assist Director with various tasks and duties; compile reports and various data as requested

• Maintain accounts with necessary service providers; maintain necessary receipts and invoices

• Maintain safety management, environment of care and security records

• Manage and track program accounts

• Complete and monitor information technology requests

• Track performance improvement goals 

• Maintain front office Process and Procedures Manual

• Manage and keep postage meter and mailing supplies

• Keep and maintain program schedule of events and meetings 

• Assist with training of staff on data management system, including electronic health record system

• Attend community meetings or trainings as requested by director.

• Supervise Front Desk Receptionist and others as needed

• Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
