Responsibilities

As an integral member of the Loan Operations Department, the Loan Operations Consumer Document Review Representative 1 is responsible for the review and onboarding of loan and collateral documentation to ensure accuracy, compliance, and protection of the Bank's security interests. This position reviews loan files for adherence to regulatory requirements, internal policies, and lending guidelines, and is responsible for onboarding loans from various Loan Origination Systems (LOS) into Community Bank's core operating system, Jack Henry & Associates' Xperience. The representative ensures the accuracy and completeness of loan and collateral information, identifies and resolves documentation exceptions, and supports efficient loan boarding and collateral management processes.

Essential Responsibilities:

  • Review loan documentation and verify new loan information on the system for accuracy and adherence to regulatory requirements and internal policies and procedures, refer major loan violations to the supervisor for review
  • Identify and issue exceptions for errors in calculations, missing documentation, and/or documents needing correction
  • Ensure accuracy of contract figures, disclosures, signatures and documentation for loan type
  • Review insurance applications and health questions; verify eligibility for coverage, identify and write exceptions for errors in calculations and/or missing documentation
  • Enter new/updated data for renewals and modifications directly into the core system
  • Process cross-applications in the core system to move funds/fees to the appropriate general ledger during the onboarding process
  • Process maintenance items submitted from Loan Ops internally or from other departments
  • Review general ledger outages and process the proper cross-applications and/or maintenance to clear
  • Review and verify auto transfer forms to the system to ensure accuracy
  • Configure documents to be accessible in computer programs utilized by the Department
  • Maintain proficient knowledge of, and demonstrate ongoing compliance with, all laws and regulations applicable to this position, ensure ongoing adherence to pertinent policies, procedures, and internal controls, and meet all job-specific training requirements in a timely fashion
  • Review loan files to ensure the proper documentation is obtained for collateral perfection
  • Submit and track electronic lien filings (FDI) and UCC filings (I-Lien), ensuring timely and accurate processing
  • Review new loan files to ensure the proper documentation is obtained to perfect the Bank's collateral
  • Research and resolve onboarding and collateral-related issues

Ancillary Duties:

  • Provide assistance wherever necessary to help the Loan Operations Department and the Bank in achieving their annual goals
  • Work collaboratively with internal teams to ensure smooth loan operations and compliance with regulatory standards
  • Assist in process improvement initiatives to enhance the efficiency of loan onboarding and collateral management
  • Take ownership of personal performance, development, and continuous improvement. Adapt positively to change and actively support new tools, processes and initiatives.
  • Perform other duties as assigned to support the Loan Operations Department and the bank’s overall objectives

 


Qualifications

Education, Training and Requirements:

  • High School Diploma or GED required
  • Associates Degree in business related field or equivalent work experience preferred

Skills:

  • Strong attention to detail as well as proven organizational and analytical skills
  • Highly organized, with the ability to multi-task
  • Ability to prioritize and work effectively under time constraints
  • Above average written and verbal communication skills
  • Basic to intermediate computer skills
  • Proficiency in Microsoft Excel and Word, with the ability to create and manipulate data
  • Problem-solving skills with the ability to research and resolve issues independently

Experience:

  • Preference will be given to a candidate with at least one (1) year experience in banking and knowledge of lending products and services; as well as working knowledge of the required documentation to onboard loans in the applicable loan portfolio.

 


Other Job Information

Hours: 40 hours per week

 

Compensation: Commensurate with experience plus potential for annual merit increase.
