This position reports to the BillingĀ & CollectionsĀ Manager and willĀ representĀ the accounting department and work as a key member of the billing team while providing full-service support to attorneys on all billing questions.Ā The Billing Coordinator will liaise with attorneys and staff to make sure changes are made accurately andĀ in a timely manner, while partnering with account services and billing to fully understand the details and make sure best practices and billing guidelines are followed.Ā We areĀ seekingĀ a positive, hard-working individual with an excellent client service approach.Ā

Duties and Responsibilities:Ā Ā 

  • Provide excellent client service to our internal and external clientsĀ 

  • Own, distribute and process monthly prebillsĀ 

  • Enter changes to prebills in accounting program - transfers, edits (narrative and numerical)Ā 

  • Track invoice status, follow up onĀ prebills notĀ returned, matters not billedĀ 

  • EnsureĀ appropriate billĀ formats, discounts, rateĀ levelsĀ and insurance information areĀ indicatedĀ prior to preparing invoicesĀ 

  • Prepare invoices toĀ submitĀ to clients and/orĀ third partyĀ billing vendor when applicableĀ 

  • Prepare spreadsheets, manage client requirements, and understand fee arrangementsĀ 

  • Responsible forĀ highĀ levelĀ of accuracy and completeness to include ensuring any new timekeepers/matters areĀ submittedĀ and approved to the clientĀ 

  • Maintain billing information and special instructions in accounting databases and spreadsheetsĀ 

  • Timely response to various billing related inquiries from attorneys,Ā clientsĀ and billing managementĀ 

  • Detailed invoice review, tracking invoice status, legal task coding, numerical and narrative revisionsĀ 

  • Generate reports,Ā billĀ and payment historyĀ 

  • Liaise with attorneys and staff to clarify rate arrangements and override requestsĀ 

  • Work with the attorneys to complete accruals/budgets/status requests by clientĀ 

  • Ā CollaborateĀ with assignedĀ EBillerĀ to addressĀ ebillingĀ issuesĀ 

  • NotifyĀ ebillerĀ of new electronic matters openedĀ 

  • Prepare non-insured client appeals for electronic invoices andĀ troubleshootĀ to resolve issuesĀ 

  • Post electronic invoices once the client has accepted for paymentĀ

Requirements:Ā 

• DegreeĀ in Business Administration, Management, or Accounting is preferredĀ 

• 2Ā yearĀ minimum law firm experience strongly preferredĀ 

• Knowledge of Windows environment including Microsoft Word,Ā OutlookĀ and ExcelĀ 

• Excellent communication skills, both verbal and written, as well as the ability to provide professional customer service by phone and e-mailĀ isĀ requiredĀ 

• Well organized, positive attitude and a team playerĀ 

• Knowledge of Aderant,Ā BillĀ Blast, E-Billing a plusĀ 

For Westchester County, NY the expected hourly wage for this position is between $29.50 and $33.00.Ā Ā  The actual compensation will be determined based on experience and other factors permitted by law.

For Albany, NY the expected hourly wage for this position is between $28.00 and $31.00.Ā Ā  The actual compensation will be determined based on experience and other factors permitted by law.

For Illinois, the expected hourly wage for this position is between $29.50 and $33.00.Ā Ā The actual compensation will be determined based on experience and other factors permitted by law.
