We are seeking a highly organized, adaptable, and proactive Project Coordinator to support daily project operations. This role centers on coordinating multiple active projects, ensuring they move smoothly from initial setup through submittals, ordering, and field preparation.

The ideal candidate can take direction well, think on their feet, and manage several priorities at once in a fast‑paced environment. Strong communication, attention to detail, and consistent follow‑up with internal teams and external partners are essential for success.



Requirements

Project Setup & Document Control

  • Initiate new projects by sending introductory emails and assembling complete project packets (proposals, take‑offs, purchase orders, specifications, drawings).

  • Maintain and update project information in Monday.com.

  • Track and distribute project updates including RFIs, addenda, and revised drawings.

Submittals (Core Function of Role)

  • Monitor submittal status, approvals, and revisions to ensure timely turnaround.

  • Distribute returned submittals to detailers and Project Managers.

  • Keep organized, accurate records of all submittals and approvals.

Communication & Coordination (Critical to Success)

  • Serve as the central coordinator between internal teams (Project Managers, Estimating, Detailers) and external partners (General Contractors, Steel Erectors, Suppliers).

  • Communicate and reinforce deadlines for detailing, submittals, and bill‑of‑material delivery.

  • Maintain consistent follow‑up to obtain required dates, drawings, and approvals.

  • Proactively track outstanding items to prevent delays.

  • Ensure all parties remain aligned on current drawings, scope, and schedule.

  • Support Project Managers with assigned tasks and shifting priorities.

Ordering Support & Pre‑Construction Coordination

  • Gather required documents for material ordering, including approved submittals and for‑construction drawings.

  • Send order confirmation emails to trade partners and communicate schedule impacts when needed.

  • Assist with internal review of documents prior to order placement.

Field Preparation Support

  • Coordinate with detailers to obtain field‑use drawings and accessory material lists.

  • Ensure field teams receive accurate, complete documentation before mobilization.

  • Proficient in Microsoft Office (Excel, Outlook, Word)

  • Ability to work in a fast‑paced environment and prioritize effectively

  • Experience with Bluebeam is a plus

  • Willingness to learn industry processes and grow within the role

COMPENSATION

  • Salary: $55,000 annually

  • Compensation review after initial 120‑day training period, with opportunity for increase

  • Medical insurance: Company pays 90% of the premium for the base plan (employee + dependents)

Schedule

  • Mon–Thu: 8:00 AM – 4:30 PM (30‑min lunch)
