Job Description

The HR Assistant will play a pivotal role in supporting an essential I-9 audit and data cleanup initiative. This position involves reviewing, organizing, and updating employee Form I-9 records to ensure compliance with federal regulations. The role demands exceptional attention to detail, strong organizational skills, and the capacity to manage highly confidential information.

Responsibilities

  • Review existing paper I-9 forms to ensure accuracy, completeness, and compliance with federal regulations.
  • Identify missing, incomplete, or incorrect I-9 documentation and flag discrepancies for correction.
  • Partner closely with HR and compliance teams to coordinate corrections and follow proper remediation processes.
  • Organize and maintain paper I-9 files in accordance with retention and audit standards.
  • Track audit progress, corrections, and outstanding items using spreadsheets or internal tracking tools.
  • Support data cleanup efforts, including record reconciliation and document updates.
  • Ensure confidentiality and secure handling of sensitive employee information at all times.
  • Follow established compliance procedures and escalation protocols when issues are identified.
  • Assist with audit readiness and respond to internal or external audit requests as needed.

Essential Skills

  • Experience with E-Verify and I-9 verification.
  • Proficiency in Microsoft Excel and Microsoft Office Suite.
  • Strong human resources administrative skills.
  • Exceptional data entry and organizational abilities.

Additional Skills & Qualifications

  • High school diploma required.
  • At least 1 year of HR experience.

Work Environment

The position is a temporary assignment lasting 4-6 months, with working hours from Monday to Friday, 8:00 AM to 4:30 PM. The role is based in an office within a manufacturing environment.
