We are seeking a detail-oriented Senior Administrative Assistant to join our team in Orem, Utah. This position will report directly to and provide dedicated administrative support to Squire's Chief Strategy Officer (CSO), who leads strategic initiatives within our Advisory practice. This is a high-trust role for someone who excels at anticipating needs, managing competing priorities, and keeping an executive organized and focused on the firm's most important priorities. The Senior Administrative Assistant will manage day-to-day executive support while also assisting with projects, meetings, communications, and initiatives connected to the CSO's leadership responsibilities.

The ideal candidate is resourceful, professional, highly organized, and comfortable working independently. Success in this role requires excellent judgment, discretion, follow-through, and the ability to build strong working relationships across the firm.


Responsibilities:

  • Provide dedicated administrative and executive support to the Chief Strategy Officer, proactively anticipating needs and managing priorities.
  • Manage a complex and evolving calendar, including scheduling and coordinating internal meetings, client meetings, leadership discussions, and other commitments.
  • Coordinate meeting logistics, prepare materials and agendas, track action items, and follow up on commitments as appropriate.
  • Help the CSO prioritize competing requests, deadlines, meetings, and responsibilities.
  • Coordinate travel arrangements, itineraries, reservations, and related logistics as needed.
  • Prepare, edit, and organize presentations, reports, correspondence, meeting materials, and other documents with a high degree of accuracy and professionalism.
  • Assist with special projects and strategic initiatives led by the CSO, including coordinating activities, tracking deadlines, gathering information, and following up with stakeholders.
  • Serve as a professional and responsive point of contact between the CSO and employees, clients, firm leaders, and external contacts.
  • Support administrative needs related to the CSO's responsibilities within the Advisory practice, including coordination with the NetSuite team and other practice areas as needed.
  • Process and coordinate expense reports, invoices, billing-related items, and other administrative transactions associated with the CSO's responsibilities.
  • Maintain organized records, files, and information in accordance with firm policies and confidentiality requirements.
  • Identify opportunities to improve administrative processes, organization, and efficiency.
  • Collaborate with Squire's administrative team to coordinate schedules, meetings, events, and firm-wide initiatives when appropriate.
  • Handle sensitive client, employee, financial, and firm information with a high level of professionalism, discretion, and confidentiality.


Qualifications:

  • Associate degree preferred; equivalent professional experience will be considered.
  • 5+ years of progressive administrative or executive support experience preferred.
  • Previous experience directly supporting an executive, senior leader, partner, or similar leadership position strongly preferred.
  • Demonstrated ability to manage complex calendars, competing priorities, and confidential information.
  • Strong organizational and project coordination skills with exceptional attention to detail.
  • Ability to anticipate needs, identify potential issues, and take appropriate action with limited direction.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and the ability to communicate professionally with executives, employees, clients, and external contacts.
  • Demonstrated judgment, discretion, professionalism, and commitment to confidentiality.
  • Ability to work independently while collaborating effectively across teams and departments.
  • Proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Ability to quickly learn new technology, systems, and business processes.
  • Experience supporting executives in professional services, accounting, consulting, technology, or a similar environment is a plus.
  • Familiarity with NetSuite or ERP solutions is helpful but not required.Ability and willingness to quickly learn new technology, software, and business processes.

  • Dependable, proactive, adaptable, and committed to consistently delivering high-quality work.
  • Familiarity with NetSuite, ERP systems, or technology consulting environments is a plus; prior NetSuite experience is not required.
