Job Summary

The Business Development Specialist supports revenue growth across the organization’s advertising, sponsorship, exhibit, and partnership programs. This hands-on role combines prospecting, outreach, proposals, renewals, and relationship management with significant administrative and operational oversight, including processing agreements, maintaining CRM records, managing creative assets and fulfillment deadlines, preparing reports, and supporting conferences and events. 

Reports to: Senior Director, Growth & Engagement


Key Duties and Responsibilities: 

Business Development and Relationship Support 

  • Research and engage prospective advertisers, sponsors, exhibitors, and partners, with an emphasis on securing new conference exhibitors and supporting pipeline and revenue goals. 
  • Respond to  inquiries, prepare proposals, and follow up on open opportunities and renewals. 
  • Build and maintain relationships with prospective and existing advertisers, sponsors, exhibitors, and partners. 

Advertising, Sponsorship, and Partner Fulfillment 

  • Conduct all outreach, produce and process agreements, and complete the life cycle for all FICPA revenue-generating advertising deliverables. 

Conference and Event Support 

  • Maintain sponsor and exhibitor information in AM.net, EventsAir, Engagefully, and other applicable platforms, and coordinate assets for event websites, mobile applications, signage, presentations, and print and digital materials.  
  • Manage conference exhibitor relationships and activities by independently conducting outreach, evaluating exhibitor needs and opportunities, reviewing agreements, coordinating placement and fulfillment, resolving issues, and exercising judgment to ensure successful exhibitor participation to support conference revenue. 
  • Collaborate with FICPA teams, particularly Conferences and Member Service, to deliver strong member, sponsor, and exhibitor experiences at all events. 

CRM and Administrative Coordination 

  • Create and maintain accurate organization, contact, lead, and deal records in Pipedrive, including customer communications, next steps, pipeline activity, deadlines, and renewal opportunities. 
  • Coordinate agreement and invoicing documentation with and maintain department trackers, files, reports, calendars, and other operational documentation. 
  • Support the Senior Director of Growth and Engagement with research, correspondence, reporting, standard operating procedures, and special projects. 
  • Identify opportunities to simplify recurring processes, improve data accuracy, and reduce manual work. 
  • Other duties as needed to help drive the vision of the FICPA, fulfill our mission, and abide by our organization’s core values.

Requirements

  

Competencies and Qualifications: 

  • Graduation from high school or an equivalent certificate.
  • Two to five years of general administrative and/or sales experience, or an equivalent combination of training and experience. 
  • Ability to manage multiple revenue-generating accounts, opportunities, deadlines, and deliverables while exercising discretion and prioritizing competing business needs.
  • Skilled in consultative sales outreach, prospecting, relationship development, proposal development, negotiation, and follow-through.
  • Strong written and verbal communication skills, with the ability to effectively communicate with prospective and existing advertisers, sponsors, exhibitors, partners, and internal stakeholders.

Essential Physical Skills:

  • Must have manual dexterity to perform specific computer and electronic/mobile device functions for data collection, and use a keyboard/computer, printer, fax, copier. 
  • Able to receive and act on detailed information through oral and written communication.
  • Must apply finger dexterity, sufficient corrected or uncorrected vision, hearing, oral communication and critical thinking on a regular basis to perform all duties and responsibilities.
  • Requires extended periods of sitting, working on the computer, and using electronic telephone devices. 
  • Ability to travel via car to attend events.
  • May frequently be required to stand, walk, and occasionally use arms and hands to reach. 
  • Regular on-site, physical attendance may be required in multiple locations, settings, and venues.
  • May also require occasional lifting and carrying of 10-20 pounds.
  • Must be able to work in the primary workplace location to ensure appropriate cooperation and collaboration with coworkers in an in-person capacity to best ensure support to the Association’s membership.
