Position Summary
The Estimating Coordinator provides administrative and technical support to the estimating team by organizing bid documents, coordinating communications, maintaining cost data, and ensuring timely submission of proposals. This role helps streamline the preconstruction process and supports accurate, competitive bids for projects across Florida.

Key Responsibilities
- Coordinate and track project bids, deadlines, and submission requirements.
- Organize and distribute plans, specifications, addenda, and bid documents.
- Maintain and update subcontractor and vendor contact lists.
- Assist with soliciting and tracking subcontractor and supplier quotes.
- Compile bid packages and ensure all required forms and documentation are included.
- Maintain historical cost data and project files for future reference.
- Support estimators with data entry, takeoffs, and document management.
- Communicate with subcontractors, vendors, and internal teams regarding bid details.
- Ensure compliance with company procedures and Florida construction regulations.
- Assist in post-bid follow-up and project handoff to operations.
- Conduct follow ups with clients after bids are submitted

Education & Experience
- Associate or Bachelor’s degree in Construction Management, Business Administration, or related field (preferred).
- 1–3 years of experience in construction administration, estimating support, or project coordination.
- Experience in Florida construction markets is a plus.

Skills & Competencies
- Strong organizational and time-management skills.
- Attention to detail and ability to manage multiple deadlines.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Experience with estimating or construction management software (e.g., Procore, PlanSwift, Bluebeam) preferred.
- Strong communication and interpersonal skills.
- Ability to read construction drawings and specifications (preferred).
- Experience with CRM programs (HubSpot, Salesforce, Zoho)

- Office-based role with occasional interaction with job sites.
- May require extended hours during peak bid periods.
