Salary Range: $45,000 - $50,000


Overview:

Emerge Solutions Group is seeking a professional, customer-focused Front Desk Coordinator to support the Department of Veterans Affairs (VA) SimLEARN National Simulation Center. This position serves as the primary point of contact for visitors, staff, instructors, and customers, providing front desk operations, scheduling support, customer service, visitor management, and administrative coordination. The ideal candidate is organized, detail-oriented, and able to manage multiple priorities while delivering exceptional customer service in a secure federal environment.


Key Responsibilities:

  • Serve as the primary point of contact at the front desk during assigned business hours by welcoming visitors, training participants, staff, and contractors; assisting with inquiries; and ensuring visitors are properly checked in and directed to the appropriate location.
  • Greet and check in visitors, verify visitor access requirements in accordance with established procedures, maintain visitor logs, and issue and collect visitor badges or temporary access credentials as required. 
  • Monitor visitor entry and exit while ensuring compliance with facility security and sign-in/sign-out procedures. 
  • Answer, screen, and route incoming phone calls, emails, and in-person inquiries to the appropriate staff. 
  • Record customer requests, questions, and issues using designated tracking tools and ensure timely follow-up. 
  • Schedule classrooms, conference rooms, meeting spaces, and simulation labs using designated scheduling systems and calendars. 
  • Coordinate room reservations, confirm bookings, and communicate room assignments and setup requirements to staff and customers. 
  • Receive and document requests for facility tours, observation visits, meetings, and training events, and coordinate with appropriate program personnel. 
  • Receive deliveries, prepare outgoing mail and shipments, notify staff of incoming packages, and maintain front desk supplies. 
  • Assist with updating designated sections of the program website, internal information boards, course schedules, contact information, and announcements. 
  • Maintain logs and tracking reports for room reservations, visitor activity, customer requests, and facility usage. 
  • Prepare periodic summaries of front desk activities, visitor counts, room usage, and customer service metrics as requested. 
  • Perform other administrative and customer support duties as assigned. 

Minimum Qualifications:

  • Must be a U.S. Citizen.
  • High school diploma or equivalent required. 
  • Minimum one (1) year of experience in customer service, receptionist, administrative support, or front desk operations (two or more years preferred). 
  • Strong customer service and interpersonal communication skills. 
  • Excellent verbal and written communication abilities. 
  • Strong organizational skills with attention to detail. 
  • Ability to prioritize multiple tasks in a fast-paced professional office environment. 
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, and Teams). 
  • Ability to maintain confidentiality and handle sensitive information professionally. 
  • Must be able to obtain and maintain a VA Tier 2 (Moderate Risk) Background Investigation status.
