Job DetailsJob Location: UCP Immersive Learning Academy - Orlando, FL 32817Position Type: Full TimeEducation Level: 2 Year DegreeSalary Range: $44,000.00 - $48,500.00 SalaryJob Category: Admin - ClericalJob Summary: The Virtual School Business & Enrollment Manager serves as the operational partner to the principal and a key member of the virtual school leadership and implementation team. In a small-school environment, the Manager provides broad leadership and independent oversight of enrollment, school operations, family onboarding and engagement, student records, attendance, technology access, and administrative systems. The Manager owns and continuously improves operational processes necessary for effective school functioning; analyzes enrollment and operational data; independently resolves day-to-day issues; and advises the principal regarding operational priorities, systems, and resource needs. The position works collaboratively with educators, families, service providers, and UCP departments to build an efficient, responsive, compliant, and family-centered virtual school. Job Responsibilities: School Operations & Implementation Leadership Partner with the Principal to develop, implement, evaluate, and continuously improve the operational systems and procedures necessary to effectively operate and grow the virtual school. Manage day-to-day school operations and exercise independent judgment in prioritizing needs, resolving operational issues, coordinating resources, and determining when matters require Principal or organizational-level involvement. Analyze enrollment, attendance, family-service, technology, staffing, and other operational data to identify trends, anticipate needs, recommend solutions, and support Principal decision-making. Develop and refine workflows, procedures, tools, and systems that improve efficiency, accuracy, compliance, family service, and school performance. Advise the Principal regarding operational priorities, enrollment strategies, systems, processes, resource needs, and implementation challenges. Coordinate across Education, ESE, Therapy, IT, HR, Finance, Risk Management, vendors, and other partners to resolve issues and ensure effective school operations.   Business, Administrative & Resource Management Manage school administrative systems, calendars, operational documentation, records, communication workflows, and coordination of school activities and events. Coordinate inventory, distribution, tracking, replacement, and return of student devices, curriculum materials, technology, supplies, and other school resources; recommend resource needs based on enrollment and program growth. Monitor employee time and attendance, identify discrepancies and potential overtime concerns, and coordinate payroll review and approval with the principal. Coordinate staff onboarding related to school procedures, operational systems, technology, Paycom, and other applicable processes. Serve as the school liaison for applicable HR, Risk Management, student accident, workers’ compensation, health-documentation, and other operational processes. Coordinate field trips, volunteer activities, school events, and other assigned student/family activities and ensure appropriate operational planning and documentation. Maintain confidentiality and exercise discretion in handling sensitive student, family, personnel, financial, and organizational information. Perform other duties as assigned in support of students, families, school operations, and organizational priorities. Family Engagement & Virtual School Access Serve as a primary school resource for families and ensure a responsive, supportive experience throughout enrollment, onboarding, and ongoing participation in the virtual school. Develop and coordinate family/student onboarding and orientation related to learning platforms, technology, school expectations, schedules, procedures, and available supports. Oversee first-line support for devices, logins, virtual learning platforms, and access issues; identify recurring problems and coordinate systemic solutions with IT and platform providers. Develop and coordinate family engagement activities and school communications regarding events, schedules, procedures, resources, and other important information. Identify family needs and coordinate connections to appropriate school, UCP, and community resources. Enrollment & Student Administration Own and manage the school’s enrollment and onboarding process from initial inquiry through completed enrollment and successful entry into the virtual school. Monitor the enrollment pipeline, applications, vacancies, conversion, withdrawals, and other enrollment indicators; identify barriers and implement or recommend strategies to achieve enrollment goals. Lead Admissions Team processes and coordinate enrollment decisions, family follow-up, virtual tours, Open Houses, and other recruitment/enrollment activities. Ensure required enrollment documentation is complete and accurate, including registration, residency, health, IEP/504, and other applicable student records. Oversee the accuracy and integrity of student information, cumulative records, enrollment, and attendance data across SchoolMint, the Student Information System, and other applicable systems. Lead school processes related to attendance concerns and Child Study, coordinating appropriate documentation, family intervention, and staff follow-up. Qualifications Associate degree or equivalent college coursework preferred; significant relevant school-based experience may substitute for postsecondary education. Minimum of three years of progressively responsible experience in school operations, student enrollment, school administration, student records, or a closely related educational setting required. Demonstrated experience managing or taking significant responsibility for student enrollment processes, including family inquiries, applications, documentation, student records, enrollment follow-up, and related systems required. Experience working with student information, enrollment, attendance, and school data-management systems required. Experience in a charter school, virtual school, or other public-school environment strongly preferred. Experience supporting students with disabilities and their families preferred.
