We are seeking a full-time Human Resources Project Assistant CL2 to support the University of Maine and University of Maine at Machias Office of Human Resources. This is an excellent opportunity for an applicant who is interested in further developing their administrative, data, and project management skills in a multi-faceted office where self-direction, efficiency, and teamwork are appreciated and respected. The wage for this position is $22.55 per hour. This is a full time, 40 hour per week position with a Monday through Friday work schedule of 8 a.m. to 4:30 p.m., with potential for flexibility on either side, in consultation with the supervisor. This is an in-person position located at the University of Maine, with the possibility for a hybrid work schedule (up to 2 days per week remote) after successful completion of the probationary period.
The essential duties and responsibilities of the HR Project Assistant CL2 include, and are not limited to:
- Assisting with recruitment efforts, including creating job postings, coordinating pre-employment checks to include background checks and post-offer physicals
- Partnering with search chairs, HR liaisons, and HR Partners to provide for smooth transitions and handoffs as positions progress through the talent acquisition process
- Preparing and distributing offer letters and onboarding materials for new hires
- Ensuring that all required tasks are completed within the applicant tracking system prior to closing out a search
- Assisting employees with onboarding tasks such as I-9 verification and troubleshooting technical issues
- Managing and making recommendations for onboarding procedures
- Organizing and maintaining records, including creating, scanning, and maintaining confidential department and employee files
- Handling incoming calls, emails, and correspondence related to HR inquiries

Qualifications:
Required:
- High school diploma or equivalent (G.E.D.)
- 1 or more years of administrative, project support, or comparable experience
- Proficient with Microsoft Office Suite and Google Suite
Preferred:
- Ability to work well with many people at all levels of an organization
- Demonstrated close attention to detail and organizational skills
- Exceptional customer service with an aptitude for problem-solving and logistics
- Experience working in a higher education setting
- Experience using an Applicant Tracking System, such as Oracle
- Demonstrated ability to prioritize and manage workload with changing priorities and multi-task in a fast paced, team-oriented environment
- Possess the ability to have independent judgment, initiative, and maintain confidentiality
