Remain alert to activity in the lobby to ensure visitors remain in common areas. Secure exterior doors and ensure public restrooms are vacant at the end of the day. Provide administrative support to the Executive Assistant. Coordinate vendor relationships relating to office supplies, copiers and printers, shipping partnerships, coffee and vending machines, and document destruction. Manage reservations relating to Mazuma’s Community Rooms and company vehicles. Complete Janitorial and Office Supply inventory. Support the planning, coordination, and execution of department and community events held in the community room. Assist with the setup, hosting, and breakdown of department-sponsored events and activities within the community room. Recommend process improvements and assist with administrative procedures Ensure common office spaces at Mazuma Headquarters remain organized, stocked, and professional. Process package deliveries and mail sorting. Board Governance Serve as backup administrator for BoardEffect and governance systems. Assist with annual meeting planning. Support meeting logistics, room reservations, technology setup, and catering. Maintain confidentiality of board and executive information. Culture Support Support Human Resources with welcome experiences for new Team Members. Support the Culture and Internal Communications Specialist with Mazuma cultural activities. Support Culture Crew, WellCo, and other Team Member-focused committees as needed. Assist with workplace decorations and seasonal events. Promote participation in culture and community programs. Positive change agent that embraces team direction.  Knowledge and Skills: Required Experience: Minimum 2 years of front-line customer service experience.  Preferred Experience: Experience in an administrative setting, including front desk, visitor, vendor, or internal customer support in a professional office environment. Experience coordinating schedules, reservations, supplies, meetings, events, or daily office operations. Experience working with Microsoft Office, Outlook, Teams, and other office technology. Experience handling confidential information with discretion and professionalism.  Education: Required Education: High school diploma or equivalent.  Preferred Education: Associate degree or bachelor’s degree in a related field. Other Skills: Excellent organizational, follow through, and time management skills. Strong communication and interpersonal skills. Must be able to work independently with limited supervision. Confidentiality & professional judgement  Physical Requirements:  Perform primarily sedentary work with limited physical exertion and occasional lifting of up to 25 lbs. Must be able to operate routine office equipment including computer, tablet, telephone, copier, facsimile, printer, scanner, and calculator. Must be able to routinely perform work on computer for an average of 6-8 hours per day. Must be able to work extended hours whenever required or requested by management. Must be capable of regular, reliable, and timely attendance.
