Small Business Lending is looking to add an Assistant Customer Service Representative to its team!

POSITION SUMMARY: 

The Assistant Customer Service Representative supports the loan servicing function by managing borrower communications, maintaining accurate loan records, coordinating payoff and release documentation, and assisting with delinquency management. This role works closely with internal departments including Loan Accounting and Legal to ensure accurate servicing operations, regulatory compliance, and timely resolution of borrower inquiries and loan issues.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: (other duties may be assigned as needed)

Loan Servicing & Documentation
• Prepare payoff statements, payoff documentation, and release packages.
• Coordinate with internal teams to ensure accurate and timely delivery of payoff information.
• Prepare and submit UCC amendments, corrections, and updates as required.
• Order title searches when necessary for loan monitoring or default processes.
• Maintain clean, organized loan files and servicing documentation for compliance and audit readiness.

Borrower Communication & Support
• Prepare and send welcome letters and marketing inserts to new borrowers.
• Handle borrower inquiries and provide servicing support as needed.
• Maintain detailed documentation of borrower communications and servicing activities.

Payment Processing & Coordination
• Set up ACH authorizations and verify receipt of all required banking documentation.
• Coordinate with internal departments to ensure payment methods are activated and processed correctly.
• Maintain daily communication with Loan Accounting for payment research, suspense reviews, and reconciliation.

Delinquency Monitoring & Collections Support
• Request site inspections for loans that are more than 45 days past due.
• Conduct follow-ups on delinquent loans to resolve payment issues and ensure compliance with collection guidelines.
• Coordinate with borrowers, attorneys, and internal departments to cure past due loans.
• Track late fees and miscellaneous fees and verify accurate posting and reconciliation.

Compliance & Cross-Department Coordination
• Maintain daily communication with the Legal Department regarding escalations, legal actions, and compliance matters.
• Ensure all servicing activities follow internal policies and regulatory requirements.
Administrative & Operational Support
• Perform clerical duties including scanning, filing, document organization, and coordinating FedEx shipments.
• Provide notary services as needed for loan documents or internal requirements.
• Assist management with special assignments or projects related to servicing, reporting, compliance, process improvements, or portfolio initiatives.
• Support cross-functional initiatives and internal workstreams as required.

KNOWLEDGE, SKILLS & ABILITIES:

•Strong organizational and administrative skills with high attention to detail.

•Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

•Strong written and verbal communication skills.

•Ability to work cross-functionally with accounting, legal, and operations teams.

•Proficiency in Microsoft Office and loan servicing systems preferred.

•Notary Public certification preferred or willingness to obtain.

EDUCATION & CERTIFICATION REQUIREMENTS:

College degree preferred but not required.

Salary Range: $45,000 to $55,000 per year.
