Responsibilities:

  • Prepare departmental correspondence (letters, reports, documents), and process and distribute departmental mail as well as respond to routine inquiries.
  • Answer telephones, provide information about services and refer calls to appropriate staff.
  • Conduct outreach telephone calls to agencies and organizations to obtain or distribute departmental-related information.
  • Prepare and process routine departmental financial transactions, including reviewing invoices, completing vouchers, and ensuring accurate coding before submission to Finance.
  • Maintain calendar for Director/Administrator or others and schedule appointments as needed.
  • Assist with logistics of establishing new sites or a site move by ensuring supplies, equipment, forms, record keeping system are available.
  • Assist as needed at building front desk answering agency calls and directing visitors/guests.



Qualifications:

  • High School Diploma or GED.
  • 2-3 years of secretarial or office management experience.
  • Moderate proficiency with Microsoft Office Suite, with emphasis on Excel; familiarity with navigating online database programs.
  • Well-developed communication skills resulting in productive relationships with clients, external agencies and internal Agency program staff.
  • Demonstrated organizational skills including attention to detail and accuracy in preparing documents, processing transactions and maintaining records.

 

Schedule: 21 hours per week – flexible schedule



Rate of Pay: $21.00 per hour

 

This rate of pay serves as a good faith estimate. Actual pay is based on a number of factors which may include a candidate’s qualifications, skills, competencies, experience and work location. The salary range or rate listed does not include any differential pay or other forms of compensation, such as the value of benefits, which may be applicable to this position.
