We're a growing agency looking for a proactive, self-directed professional to join our team as our Home Care Administrative & Billing Coordinator. This isn't a role for someone who needs everything laid out—we need someone who can build structure, improve processes, and take ownership of operations.Â
The Role
As a small, growing agency, we need someone who can work independently, identify gaps, and create solutions. You'll be responsible for day-to-day operations, but you'll also be a change agent—someone who sees what needs to be done and does it without waiting to be told.
This is NOT a corporate role with established processes and procedures. You'll need to be comfortable with ambiguity, able to work alone when needed, and excited about building systems rather than just following them.Â

What You'll Do
Billing & Revenue Cycle Management
- Execute weekly, bi-weekly, and monthly billing cycles for private pay and third-party programsÂ
- Submit VA third-party billing every Monday with precision and timelinessÂ
- Maintain accurate billing documentation aligned with care plans and time recordsÂ
- Prepare and deliver weekly Billing & Receivables reports to leadershipÂ
- Track outstanding balances and manage receivables according to company proceduresÂ
Client File & Documentation Management
- Maintain and update electronic client files to ensure documentation is current and audit-readyÂ
- Conduct regular audits of electronic records for accuracy and completenessÂ
- Organize and store required documents according to agency standardsÂ
- Support internal audits and external reviews with confidenceÂ
Client Experience & Quality Assurance
- Conduct monthly client satisfaction surveys and weekly satisfaction callsÂ
- Document client feedback with detail and professionalismÂ
- Escalate concerns to the Care Team Coordinator or Agency Director promptlyÂ
- Help maintain strong client relationships through proactive communicationÂ
Employee File & Onboarding Support
- Create and maintain electronic employee folders for newly hired caregiversÂ
- Verify completion of Paycor onboarding and all required employment documentationÂ
- Keep employee records organized, up-to-date, and compliantÂ
What We're Looking For
Required Qualifications
- 3+ years of billing experience in healthcare or service-based settingsÂ
- Experience with third-party billing (VA, insurance, or similar programs)Â
- Proficiency in Excel or Google Sheets (formulas, pivot tables, reporting)Â
- Experience with electronic health records (EHR) or client file management systemsÂ
- Strong understanding of HIPAA and confidential information handlingÂ
- Excellent attention to detail and documentation accuracyÂ
- Ability to manage multiple recurring deadlines without dropping the ballÂ
- Clear written communication skillsÂ
- Self-directed and proactive—comfortable working independentlyÂ
- Comfortable with ambiguity and building processes in a small company environmentÂ
- Change agent mindset—you see what needs to be done and take initiativeÂ
- Ability to reliably commute to Sandy Springs office 2 days per weekÂ
Preferred Qualifications
- Experience with Paycor or similar onboarding systemsÂ
- Background in home health, home care, or healthcare administrationÂ
- Experience with VA billing or government programsÂ
- Familiarity with accounts receivable managementÂ
- Experience working in small companies or startups where you built processes from scratchÂ
- Track record of identifying operational gaps and implementing solutions independentlyÂ
