Northrop Grumman Aeronautics Systems has an opening for an Administrative Assistant 4 to join the team of qualified individuals. Position is located in Palmdale, CA.

The Administrative Assistant 4 provides advanced, high-level administrative support to leaders and teams in a fast‑paced environment. This role coordinates complex calendars and meetings, prepares and edits documents and presentations, manages confidential information, and supports business processes such as travel, expenses, and onboarding. The Administrative Assistant 4 is expected to work independently, exercise sound judgment, and proactively anticipate needs to enable leadership and team effectiveness.

Key Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate logistics (rooms, virtual links, visitors, catering) for leaders and teams.
  • Screen and prioritize incoming emails, calls, and requests; route and track follow‑up items.
  • Prepare, edit, and format correspondence, reports, presentations, and other documents with a high degree of accuracy.
  • Coordinate recurring staff meetings, program reviews, and special events, including agenda preparation and distribution of materials.
  • Capture and distribute meeting notes, action items, and decisions; track completion of follow‑up tasks.
  • Maintain and update shared folders, SharePoint sites, and tracking tools for documents, metrics, and team information.
  • Support data entry, reporting, and basic analysis for departmental metrics (e.g., headcount tracking, training completion, budget/expense tracking) as needed.
  • Ensure proper version control, filing, and retention of records in accordance with company requirements.
  • Coordinate domestic and/or international travel arrangements in accordance with company guidelines.
  • Prepare and process expense reports and reconcile charges in a timely and accurate manner.
  • Serve as a point of contact for general inquiries to the department; provide timely, professional customer service to internal and external stakeholders.
  • Support adherence to internal controls, compliance expectations, and company procedures.

Basic Qualifications

  • Must have a High School Diploma AND 6 years of related professional/military experience OR a Bachelor's degree AND 2 years of related professional/military experience.
  • Must have an active US Government Top Secret clearance (with a background investigation within the past 6 years or enrolled into Continuous Evaluation).
  • Must have the ability to obtain and maintain Special Access Program (SAP) clearance, within a reasonable amount of time as determined by business needs.
  • Proficiency in Microsoft Office tools (Outlook, Word, Excel, PowerPoint; Teams).
  • Demonstrated ability to handle confidential and sensitive information appropriately.
  • Strong organization and time‑management skills, with proven ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills and attention to detail.

Preferred Qualifications

  • Experience supporting managers, directors, or senior leaders in a large, matrixed organization.
  • Experience with Northrop Grumman systems and tools (e.g., Workday, Concur/expense, SharePoint, GLX), or similar enterprise platforms.
  • Demonstrated initiative and ability to work independently with minimal supervision.
  • Ability to build positive working relationships and collaborate effectively across teams and functions.

Primary Level Salary Range: $66,600.00 - $111,000.00

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
