Event Coordinator Position Summary: The Event Coordinator is responsible for planning and executing logistics for events, including vendor selection and arrangements, purchase requisitions, event management, and coordination for Tank Connection and its subsidiary businesses and properties. They will be responsible for managing timelines, working with budgets, and collaborating with multiple organizations, vendors, and individuals for a wide variety of corporate, private, and public events.   


Event Coordinator Duties and Responsibilities:

  • Oversee the planning and execution of events, including, but not limited to the following: Tank Connection company events, luncheons, training, guest events, employee appreciation events, community-related events, school tours, speaking engagements, career fairs, trade show coordination, golf course-related events, tournaments, restaurant and event center events, catering, and special events.

  • Work closely with the Marketing Director, Marketing Supervisor, Golf Course Manager, Restaurant Manager, and the Marketing team to coordinate and fulfill event requirements.

  • Represent Tank Connection at local and regional career fairs.

  • Maintain and coordinate multiple events at a time for a diverse range of event-related tasks.

  • Assist with Public Relations responsibilities and marketing projects.

  • Develop actionable plans for events.

  • Vendor selection, correspondence, confirmation, and coordination.

  • Seeking and scheduling volunteer participants.

  • Be responsible for all aspects and coordination of events, or as required.

  • Trade show management. Setting up trade shows for sales representatives, including booth registration, badges, sponsorships, shipping and handling, booth rentals, contract agreements, scheduling, and coordination.

  • Event coordination for training events. 

  • Food events, hiring vendors and catering services, event layout, and setup.

  • Building and maintaining a healthy relationship with event contacts, area schools, vendors, etc.

  • Assisting marketing with projects and tasks as needed.

  • Tank Connection Event Coordinator activities involving employee morale (Christmas, Food Trucks, Summer Event, Safety Luncheons, etc.)

  • May perform other duties as assigned.

Event Coordinator Skills and Specifications:

  • Possesses the right demeanor, attitude, interpersonal skills, and energy for working with different personality types for events and public relations projects.

  • Maintain ongoing knowledge and skills of current technology trends and media platforms.

  • Knowledge of Google Suite. 

  • Experience with Adobe Creative Suite and Microsoft applications is a plus.

  • Work in a collaborative environment.

  • Must be detail-oriented, organized, and have strong file maintenance and record-keeping skills. 

  • Requires strong communication and interpersonal skills. 

  • Able to work proactively and independently on a wide variety of projects.

  • Willingness to work additional hours in order to meet job requirements.

  • Ability to handle constructive criticism and make multiple revisions to a project.

  • Able to problem-solve and effectively address unplanned issues.

  • Experience in managing budgets and tracking expenses.

  • Excellent negotiating and multitasking skills.

  • Ability to remain calm under pressure and maintain a customer-service mindset.

Event Coordinator Education and Qualifications:

  • Bachelor’s degree in hospitality, business, event management, communication, marketing, or related field; preferred. 

  • Two years of experience working in event coordination or the public relations field.

  • Experience in event planning or event coordination in a corporate and/or public environment.

Event Coordinator Physical Requirements:

  • While performing the duties of Event Coordinator, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk or hear; taste or smell. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Event Coordinator Work Environment:

  • While performing the duties of Event Coordinator, the employee is exposed to weather conditions prevalent at the time. The noise level in the work environment is usually moderate.

  • Expected to endure typical weather elements as defined by the job site location when traveling.
