We are seeking a Temporary Administrative Project Support team member to assist with recurring administrative and project‑support tasks that help ensure smooth customer and supplier operations.

As a member of our Project Management group, you will be responsible for data processing, document preparation, report compilation, and communication support—all within a highly structured, process‑driven environment. This temporary, part‑time role is ideal for a student or early‑career professional looking to gain hands‑on experience working with data, documentation, and international project workflows.

What will you do?


1. Data Processing & Validation

  • Review and filter data according to predefined project scope (country, study, site, or access level).
  • Reformat and prepare Excel tables in line with internal templates.
  • Rename, insert, and adjust columns as required.
  • Apply formulas (CONCAT, COUNTIF, lookups) to validate data and identify inconsistencies or duplicates.
  • Perform quality checks before finalization.

2. Data Consolidation & Reporting

  • Consolidate multiple datasets using Excel tools such as Power Query.
  • Append and merge data across studies or projects.
  • Compile filtered user lists and stakeholder reports.
  • Prepare submission documents in required templates (Word).
  • Generate summary counts and validation checks.

3. File & Document Management

  • Receive, save, and manage weekly or recurring input files.
  • Maintain accurate file naming conventions and version control.
  • Organize documents correctly in SharePoint/shared drives.
  • Ensure adherence to documentation and storage standards.

4. Stakeholder Communication

  • Coordinate with internal project managers and operations team members.
  • Prepare final documents for submission to external suppliers or partners.
  • Send finalized reports following defined communication workflows.
  • Escalate missing data, inconsistencies, or discrepancies promptly.

5. Process Adherence & Continuous Improvement

  • Follow written Work Instructions (WI) step‑by‑step.
  • Maintain confidentiality of customer and study data.
  • Suggest small process improvements where appropriate.
  • Support updates to documentation as processes evolve.

Qualifications


  • Strong proficiency in Microsoft Excel (filters, formatting, basic formulas such as CONCAT and COUNTIF); familiarity with Power Query is a plus.
  • Proficiency in Microsoft Word and Outlook.
  • Experience with SharePoint or shared file systems is an advantage.
  • Ability to work accurately, follow structured work instructions, and maintain confidentiality.
  • Strong attention to detail, basic analytical skills, interpersonal communication, and proactive mindset.
  • 0–2 years of relevant experience.
  • Fluent in English (written & verbal).
