GENERAL DESCRIPTION OF DUTIES AND RESPONSIBILITIES: 


 The Receptionist/Secretary works under the supervision of and reports directly to the Clinic Director. Using initiative and judgment, performs advanced secretarial duties with latitude for decision making in conducting administrative phases of the work in the absence of the Clinic Director, within bounds set forth by the Clinic Director. Assembles and organizes information for the Clinic Director and staff. With the Director, manages an efficient office system and contributes to the clinic’s quality improvement efforts.


Duties include but are not limited to answering and routing a high volume of incoming calls. Responsible for scheduling physician schedules for Adults and Children and all follow-up appointments, completing financial assessments for all programs in the service area, supplying information to callers, relay messages, greeting people, ordering supplies, and complete cleaning and sanitation tasks to support a healthy workplace environment. Constantly exercises vigilance in maintaining confidential files and reports. 


Must have excellent communication and customer service skills, must always maintain an elevated level of professional attitude, and must be able to work in a very fast-paced work environment. Camino Real Community services practice the principles of trauma-informed care and require that all employees be trained in this area.


MINIMUM JOB QUALIFICATIONS:

  • Graduation from an accredited high school or GED.
  • Two (2) years full-time secretarial experience of increasing complexity.
  • Experience working in a receptionist/secretary type position within a health service-related office environment.
  • Experience with office automation, computer, and/or data processing systems.


PREFERRED JOB QUALIFICATIONS:

  • One (1) year (30 semester hours) of accredited college work in a related field may substitute for one year of the required experience.
  • Familiarity with HIPAA (Health Information Privacy and Portability Act) consideration fitting the CRCS line of services.
  • Be able to speak both English and Spanish.

 

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of office management principles and practices and administrative procedures and of the technical program.
  • Working knowledge of health-related accounting and collection procedures and use of automated data processing in such procedures, of human resource management and office practices, and of federal and state laws, government regulation, and agency rules governing reimbursement for agency services.
  • Extensive knowledge of Medicare, Medicaid and private insurance practices and procedures.
  • Knowledge of business terminology, spelling, punctuation, grammar, and arithmetic. Knowledge of office procedures and practices.
  • Knowledge of timekeeping skills relating to data entry and posting.
  • Able to work with the public and maintain effective working relationships.
  • Ability to train other clerical staff.
  • Willingness to accept additional assignments/duties to ensure meeting departmental and agency needs.
  • Ability to serve as a back-up to other clerical positions and other duties as assigned.
  • Skill in the use of electronic data and/or word processing equipment and software.
  • Ability to implement new systems and procedures and to evaluate their effectiveness; to supervise others; and to effectively interpret programs and plans.
