Job DetailsJob Location: FSU Campus - Pembroke Pines, FL 33029Job description COMPANY OVERVIEW:   Facility Contract Services (FCS) is a Florida-based contract services company that employs and manages personnel for municipal clients. Our staffing services include administrative support, clerical, accounting, payroll, billing, accounts payable/receivable, purchasing, human resources, supervisory roles, utility services, water and wastewater plant operations, property and general services management, building and landscape maintenance, parks and recreation, and senior and community services. FCS specializes in municipal privatization through a task-based approach aimed at improving productivity and efficiency.   JOB SUMMARY: Under the supervision of the ESE Specialist, keeps legal special education records such as IEP’s and other records; does general typing and filing; and other related duties as required.   RESPONSIBILITIES AND DUTIES: Provide confidential secretarial services to District Administrator using discretion with frequent sensitive student issues, as well as matters of concern involving department staff members. Maintain administrator’s calendar and schedule of appointments. Analyze urgent situations accurately and exercise judgment in taking effective action when dealing with parents, students, and co-workers of all levels. Maintain awareness of and compliance with federal and state regulations regarding Special Education. Responsible for submitting and maintaining accurate information to the SEIS database system which reports directly to the county. Responsible for maintaining accurate records in the Special Education section of Aeries. Track, organize, and maintain extensive confidential files on all special education students in the District. Maintain close communication and working relationship with county and district personnel, assistant principals, school psychologist, counselors, and representatives from outside agencies. Manage all aspects of the Special Education office currently located at K Street location. Maintain close and cooperative communication and working relationship with special education personnel at all feeder schools. Oversee process of receiving special education student records of incoming students. Monitor gathering and disbursement of various student progress reports to parents. Assist administrator during all phases of Compliance Reviews. Maintain Focus student database which reports directly to the state. QualificationsKnowledge of • Modern office methods of filing and clerical procedures. • Acceptable telephone etiquette. • Computer entry, storage, and retrieval functions. • Record keeping techniques. • Basic computer skills with applications such as MS Word, MS Excel etc. • Knowledge of general office procedures and office machines (computer, fax, and copier). • Correct English usage, grammar, spelling, punctuation, and vocabulary. • Interpersonal skills using tact, patience, and courtesy. • Confidentiality of special education and student records.   Ability to 1. Be confidential with student records. 2. Analyze situations accurately and exercise good judgment in taking effective action. 3. Compose letters in acceptable style with minimum assistance.  4. Maintain a calendar of the supervisor’s appointments.  5. Maintain an adequate filing system and be able to retrieve data quickly 6. Be punctual and regular in attendance.  7. Maintain confidentiality in matters regarding employees and/or students.  8. Learn specific rules, regulations, laws, and policies quickly and apply them with good judgment in a variety of procedural matters without immediate supervision. 9. Perform clerical duties including filing special education documents. 10. Meet students, parents, staff, and the public tactfully and courteously 11. Work harmoniously with fellow employees.  12. Compile and maintain accurate and complete records and reports.  13. Answer questions by telephone, in person, and e-mail in a respectful manner.  14. Organize tasks and complete with efficient use of time.   REQUIRED EXPERIENCE AND QUALIFICATIONS: Satisfactory completion of high school or GED, one (1) year of related work experience. School district work experience preferred. Work experience should have provided an ability to perform diversified duties. Ability to use judgment to determine the action to be taken. Flexibility, friendliness and excellent communication skills are a must. Customer Service skills are essential for this position.  Knowledge of business practices and word Processing. Must be computer literate.   PHYSICAL DEMANDS AND WORK ENVIRONMENT: This position is primarily sedentary and requires prolonged periods of sitting at a desk and working on a computer. Frequent use of hands to operate and control office equipment such as computers, phones, and other standard office tools. Occasional walking, standing, bending, or reaching may be required. May occasionally be required to lift and/or move up to 20 pounds.
