Job Summary
We are seeking a reliable full-time Administrative Assistant to support our travel consultants and operations team. In this role, you will help manage the office's day-to-day workflow and ensure our agents have the necessary information, organization, and communication support to serve our clients efficiently. This position goes beyond general office tasks as you will assist with client communication, documentation, and coordination related to corporate travel services. The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced office environment.
This is an in-office, long-term position. We are looking for someone seeking stability and growth.
Responsibilities
• Answer incoming calls and assist or route appropriately
• Support travel consultants with documentation, confirmations, and follow-ups
• Communicate professionally with clients and vendors via phone and email
• Monitor shared inboxes and ensure requests are addressed promptly
• Assist with urgent travel changes and time-sensitive requests
• Organize and maintain digital records in Google Workspace
• Prepare correspondence and internal documentation
• Gather data and assist with reporting
• Maintain organized office procedures and workflows
Qualifications
• Previous experience in administration, office support, customer service, or coordination
• Strong communication and professionalism on the phone and email
• Excellent organization and attention to detail
• Ability to multitask and prioritize under deadlines
• Comfortable learning new computer systems and processes
• Reliable attendance and punctuality
• Hospitality, call center, or travel industry experience
• Experience handling high-volume requests
• Experience with Outlook, Google Workspace, or CRM systems
Training will be provided for internal processes and systems.
Schedule
Full-time, in-office position.
Business hours: Monday – Friday between 9:00 AM – 9:00 PM (shift scheduled within those hours).
This role requires consistent weekly availability and is not structured for rotating student schedules.
